About the position

The Program Coordinator at the University of Maryland Medical System is responsible for coordinating and overseeing a variety of administrative and program support activities for a senior leader. This role serves as the primary point of contact for operational and administrative matters, managing complex and confidential issues, and ensuring effective communication and coordination within the department and with external entities.

Responsibilities

  • Assists the leader with the collection of data from various sources and prepares related reports.
  • Monitors, prepares, and submits periodic updates to senior leadership in collaboration with departmental managers.
  • Coordinates departmental responses to internal and external data requests, including formal surveys.
  • Organizes intra and inter-departmental meetings, including preparation of materials and minutes.
  • Investigates operational and performance concerns and recommends corrective actions.
  • Provides confidential secretarial and administrative support to the senior leader, including managing schedules and travel arrangements.
  • Acts as a primary point of contact and liaison with other offices and external agencies.
  • Gathers, enters, and updates data to maintain departmental records and databases.
  • Monitors and coordinates accounting activities and prepares internal reports for management.
  • Assists with project development and planning for efficient office organization.
  • Composes and prepares written documentation and correspondence for the office.
  • Coordinates and oversees the day-to-day management of supplies, equipment, and facilities.
  • May supervise personnel, including recommendations for hiring and performance evaluation.
  • Enhances professional growth through participation in educational programs and workshops.
  • Performs other job-related duties as assigned.

Requirements

  • Bachelor's degree or equivalent combination of education, training, and experience.
  • 3 years of progressively responsible administrative experience, including 1 year in direct support to a senior leader.

Nice-to-haves

  • Master's degree
  • 5 years or more of administrative experience.
