About the position

The Program Coordinator at Northwestern University is responsible for managing an education, research, and/or operations program/project. This role involves recommending goals, assessing feasibility, and providing ongoing performance oversight while ensuring the day-to-day administrative and operational functions are effectively executed. The position allows for flexible remote work, with specific details to be discussed during the interview process. The coordinator will manage the day-to-day operations of the program, ensuring that its mission, values, guidelines, policies, and procedures are implemented and maintained. This includes overseeing the design and development of program databases, compiling and analyzing data, and preparing reports. The coordinator will also review processes and recommend changes to incorporate state-of-the-art technology into various components of the program, including administrative, recruitment, marketing, and educational aspects. In addition to administrative duties, the Program Coordinator will participate in budget preparation, maintain budget analysis and reports, and ensure that all financial transactions are accurately recorded and classified. They will also develop coordinated marketing and brand messages, create a state-of-the-art website, and strengthen partnerships with external resources to promote the program. The coordinator will be responsible for evaluating program effectiveness by observing sessions, interacting with participants, and analyzing feedback to optimize client satisfaction. The role also includes coordinating events, supporting faculty recruitment and credentialing processes, managing grants and contracts, and ensuring compliance with necessary regulations. The Program Coordinator will play a key role in strategic planning, student support, and supervision of staff, ensuring that all aspects of the program are aligned with Northwestern University's goals and objectives.

Responsibilities

  • Manage day-to-day operations of the program/project.
  • Ensure implementation and maintenance of program/project mission, values, guidelines, policies, and procedures.
  • Design and develop program databases; compile and analyze data; prepare reports.
  • Review processes and recommend changes to incorporate technology into administrative, recruitment, marketing, and educational components.
  • Identify service improvement opportunities to achieve program/project goals.
  • Act as liaison to IT for technology systems installation and maintenance.
  • Participate in budget preparation and maintain budget analysis and reports.
  • Enter transactions into journals or general ledger; review and ensure approval based on policy alternatives.
  • Develop coordinated marketing and brand messages; create a state-of-the-art website.
  • Strengthen partnerships with external resources and promote benefits of participation.
  • Coordinate programming, educational workshops, meetings, and events.
  • Support faculty recruitment, appointment, and credentialing processes.
  • Partner with development office and grant manager to identify program funding.
  • Ensure compliance with human resources programs, policies, and procedures.
  • Manage program/project curriculum, seminars, presentations, and workshops.
  • Administer and maintain existing strategic plans.
  • Advise students regarding admissions, academic, career, and development matters.
  • Supervise 1-2 staff and provide work direction.

Requirements

  • Bachelor's degree in business, accounting, or a related field plus 1 year of program administration or similar experience; or 3 years of program administration or similar experience.
  • Experience in budget preparation and financial reporting.
  • Strong communication and outreach skills for marketing and recruitment.
  • Ability to analyze data and prepare reports for program evaluation.
  • Experience in event coordination and management.
  • Knowledge of human resources policies and procedures.
