About the position

The Program & Events Coordinator at William & Mary's Charles Center plays a vital role in supporting undergraduate research programs and events that enhance the academic experience of students. This position involves planning and executing various programming activities, managing event logistics, and facilitating communication among students, faculty, and external partners. The coordinator will also supervise undergraduate and graduate fellows, ensuring the successful delivery of events and initiatives that promote scholarly discovery and professional development.

Responsibilities

  • Planning and implementing programming activities for the Monroe Scholars Program.
  • Assisting with budget planning and expenditure tracking for events.
  • Logistical planning and execution of events, including purchasing and catering requests.
  • Managing the administration of student summer research grant applications and other awards.
  • Facilitating communication with students, faculty, and internal/external partners.
  • Connecting students with partners, programs, and services.
  • Supervising undergraduate and graduate fellows.
  • Managing event and meeting space reservations for the Charles Center.

Requirements

  • Bachelor's degree in a relevant field or equivalent combination of education, training, and/or experience.
  • Knowledge of event planning and execution.
  • Demonstrated ability to communicate effectively with diverse populations.
  • Proficiency in Microsoft Office: Word, Excel, PowerPoint, and Outlook.
  • Excellent organizational skills and attention to detail.
  • Ability to quickly learn and implement new technological platforms.

Nice-to-haves

  • Master's degree in an Arts & Sciences academic discipline or in higher education.
  • Experience working in a higher education environment.
  • Experience supervising students or staff.
  • Knowledge of procurement and purchasing policies and procedures.
  • Working knowledge of fiscal administration including expense tracking.
  • Previous undergraduate or graduate research experience.
  • Experience with web-based communications resources such as Constant Contact, Qualtrics, and Canva.
