About the position
Metal Arts Machine Co. LLC is seeking a full-time Program Management Administrator to act as a backup to the program manager and serve as the primary point of contact for customers. This role involves interacting with customers to provide information, handle inquiries, and resolve complaints while ensuring effective communication and support for assigned programs.
Responsibilities
- Act as the backup to the program manager and serve as the focal point for customers.
- Interact with customers to provide information and handle inquiries about products and services.
- Develop a communication plan for assigned programs and ensure functional support.
- Support the program manager with communication regarding schedule changes and customer requirements.
- Coordinate shipments of customer products to ensure on-time delivery.
- Create shipment paperwork that conforms to customer requirements.
- Track projects, create/manage timelines, and facilitate day-to-day operational aspects of the program.
- Provide accurate information in a timely manner and maintain positive relationships with customers.
- Monitor purchase orders and communicate customer feedback to internal teams.
- Update and monitor customer delivery schedule status daily and communicate any issues.
- Prepare monthly customer open order reports and monitor customer forecasts.
Requirements
- High school diploma or GED.
- 2-4 years of related experience or training in program management or customer service.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Access, PowerPoint).
- Experience with MRP/ERP systems, preferably JobBoss.
- Strong communication skills, both written and verbal.
- Excellent time management and organizational skills.
Nice-to-haves
- 1+ year of customer service or program management experience preferred.
- Machine shop understanding is a plus.
- Aviation background is helpful.
