About the position

The Program Manager for the Social Work Education Capacity Expansion Grant plays a crucial role in the Department of Social Work at the University of the Pacific. Reporting directly to the Chair and Program Director, this position is primarily responsible for the recruitment of new students to meet enrollment goals set forth by the Social Work Education Capacity Expansion Grant. The Program Manager will also assist the Program Director in forming community partnerships within the behavioral health field and support the Director of Field Education in recruiting new clinical field sites in the Central Valley and surrounding areas. This role encompasses oversight and management of operations, administration, and budget processes for the grant, ensuring alignment with the department's objectives and compliance with relevant regulations. In this capacity, the Program Manager will independently manage the operations of the grant, overseeing program projects, budget administration, and execution of assigned initiatives. Responsibilities include completing financial queries, reconciliations, and budget reports, as well as editing departmental projects and reports to maintain professional quality. The Program Manager will develop communication materials for the program, such as flyers and brochures, and create schedules for classes and events based on guidelines provided by the Program Director. Additionally, the role involves collaboration with Graduate Admissions and other departments to manage the activities of Social Work students, ensuring a smooth transition from pre-matriculation to graduation. The Program Manager will also be responsible for developing and managing systems for tracking and storing student and alumni records, ensuring compliance with privacy regulations such as FERPA and HIPAA. Supervisory responsibilities include overseeing administrative assistants and student workers, as well as coordinating recruitment events and outreach efforts to engage potential students. The Program Manager will act as a liaison between various stakeholders, including field sites, community partners, and potential donors, providing technical and programmatic guidance about the programs offered. This position requires advanced skills in various software applications and the ability to handle multiple projects while meeting deadlines in a dynamic work environment. The Program Manager will also implement review processes for initiatives and recommend improvements to enhance operational efficiency.

Responsibilities

  • Manage the operations and overall responsibility for office management for the Social Work Education Capacity Expansion Grant.
  • Oversee program projects, budget administration, and execution for assigned initiatives.
  • Complete queries, reconciliation, transfers, and budget reports as directed by the Program Director.
  • Edit departmental projects and reports, ensuring professional quality.
  • Develop communication materials for the program, including flyers, brochures, and video content.
  • Create schedules for classes, workshops, academic term calendars, and events based on guidelines from the Program Director.
  • Work with Graduate Admissions, Registrar, and Graduate School to manage pre-matriculant and matriculant activities of Social Work students.
  • Develop, design, and manage systems for tracking and storing student and alumni records, ensuring compliance with privacy regulations.
  • Supervise administrative assistants and student workers.
  • Assist with a robust admissions plan, including organizing applicant engagement events and identifying recruitment opportunities.
  • Plan, implement, and manage initiatives for the Social Work Education Capacity Expansion Grant in collaboration with various university departments.
  • Act as a liaison with student services and faculty support offices, facilitating connections between students and faculty.
  • Represent the Program internally and externally to promote and maintain connections with key stakeholders.
  • Handle multiple project assignments and communicate resource needs to meet deadlines.
  • Resolve routine and complex problems with minimal consultation and prioritize tasks in a changing environment.
  • Implement a review and evaluation process for assigned initiatives and recommend improvements.

Requirements

  • Bachelor's Degree.
  • Five (5) years of experience providing senior level administrative and professional program support.

Nice-to-haves

  • Master's Degree in education.
  • One (1) year of experience as the primary or lead administrative assistant or manager of an academic program or department.
  • Experience in managing and/or assistance with developing a new academic program.
  • Experience conducting outreach with high-level external stakeholders.
  • Experience analyzing data/conducting research and developing program policy recommendations.
  • Experience in supervising administrative assistants and student workers.
  • Proficiency in the use of MS Office, Banner, SharePoint and HR systems.
  • Demonstrated expertise in oral and written communication skills.

  • Experience with managing projects, timelines, and budgets.
