About the position

The Program Manager at WORLD, an affiliate of AIDS Healthcare Foundation, plays a crucial role in supervising and integrating the organization's mission and core values. This position involves overseeing program operations, providing administrative support, managing data, and ensuring compliance with grant requirements. The Program Manager will also be responsible for developing outreach strategies, managing program staff, and pursuing funding opportunities to enhance the organization's impact on women and families affected by HIV/AIDS.

Responsibilities

  • Supervise and integrate the Mission and Core Values of WORLD and AHF within and outside the organization.
  • Assist with leadership, logistical, programmatic, administrative, and quality assurance structures of WORLD programs.
  • Provide administrative support for all program staff and assist in daily program operations.
  • Prepare weekly reports, manage data, and present information related to funded projects to management.
  • Develop reporting and data collection tools for the project team.
  • Complete written documentation in a timely manner.
  • Provide oversight and direction to program staff and community outreach workers.
  • Manage, track, and approve time and expense reimbursements for program staff.
  • Develop a monthly outreach calendar and determine schedules for program staff and community outreach workers.
  • Identify sites and project partners for funded programs and develop necessary Memorandums of Agreement.
  • Participate in funder meetings and provide updates to management.
  • Create, review, and implement a social media awareness campaign related to programs and community resources.
  • Continuously improve systems, policies, and procedures for programmatic operations.
  • Identify, develop, and pursue funding opportunities for the organization.
  • Support the Executive Director in program development processes, including budgeting and evaluation.
  • Ensure compliance with grant reporting requirements and document guidelines.
  • Manage program inventory and procurement of supplies needed for the program and office.
  • Actively contribute as a member of the organization Leadership Team.

Requirements

  • Bachelor's degree in Public Health or related field.
  • Four to six years of related experience in a non-profit or health care environment.
  • Experience in HIV support services is a plus.
  • Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, Google Suite, and Adobe Acrobat Reader.
  • Familiarity with web-based applications and mobile applications (Instagram, Facebook, Snapchat).
  • Ability to effectively communicate with clients, medical professionals, and coworkers.
  • Sensitivity to issues surrounding HIV, AIDS, and COVID.
  • Strong attention to detail and excellent interpersonal skills.
  • Ability to work independently and follow established protocols.
  • Strong organizational and prioritizing skills in a rapidly changing environment.
