About the position

The Program Operations Specialist will provide operational support and project management support for integrated functions interdivisional and cross-institutional operational systems. This position will be part of the Genetics Program Operations team which is responsible for providing administrative and operational support to all Genetics Division team division improvements and optimizations relating to leading, coordinating, designing, developing, optimizing, and implementing complex workflows and protocols. In addition, the person in this role will oversee, generate and monitor data collection, metrics and provide reports to faculty and leadership to support continual quality and workflow improvements.

Responsibilities

  • Works closely with Genetics leadership, internal and external clients, including other DLMP division and cross institutional partners, to effectively facilitate workflow within the lab and across divisions of the department and other affiliates.
  • Establish, organize, and contribute to strategic planning and implementation of laboratory and departmental initiatives related to the Genetics Division teams.
  • Works closely with leadership, internal and external clients to prioritize, design, implement, and manage changes to function-specific workflows.
  • Participate in optimizing the workflows, processes, and procedures.
  • Troubleshoot and report on issues or concerns from other laboratory divisions or hospital staff or other reporting mechanisms, e.g., Quality Improvement tracking, Incident Reports, or Patient Safety Network (PSN).
  • Identify improvements to workflows, integrating knowledge of information system capabilities, and develop supporting documentation to support decision-making around process changes, including (but not limited to): workflow diagrams, functional requirements, process models, business rules and technical specifications.
  • Lead projects from requirement's definition through deployment, identifying schedules, implementation and training plans, risk mitigations, etc. to accomplish division initiatives and high priority projects.
  • Coordinate internal and external resources to ensure that projects adhere to scope, schedule, and budget(when applicable).
  • Analyze and present project status, updates, and lead discussion on assigned proposal or goals.
  • Establish and maintain relationships with relevant stakeholders, providing day-to-day contact on project status and changes. Assist with daily workload coordination, develop training documents and document staff competency. Serve as back-up for program coordinator responsibilities, when needed.

Requirements

  • Bachelor's Degree in Science or other related field AND at least three years of operation support and/or project management experience
  • Equivalent Education and Experience
