About the position

The Program Operations Coordinator plays a crucial role within the Quality Improvement Administration team, supporting the divisional needs of the Program Operations Teams. This administrative position combines responsibilities in Quality Improvement, Compliance, Data Analytics, Operations, and Administration. The coordinator will work closely with the Director of QI/Operations to develop and implement policies and procedures, ensuring that tasks are completed efficiently and within deadlines while maintaining high standards of customer service and collaboration.

Responsibilities

  • Provide direct support to divisional needs of program operation, streamlining processes and managing safe work environments.
  • Oversee documentation certification processes and collaborate with the Program Manager on performance and corrective action plans.
  • Prepare summary audit reports and analysis, including findings and recommendations for improvement.
  • Ensure 100% of audit corrections are communicated, corrected, and verified for all programs.
  • Reaudit charts to ensure compliance and remedy issues as needed.
  • Conduct audits and investigations in a timely and confidential manner, maintaining all findings securely.
  • Revise audit and compliance practices to improve effectiveness in response to organizational needs or new regulations.
  • Create program-specific forms and tools to establish workflows for operations.
  • Attend monthly Program Operations Department meetings to coordinate quality assurance and improvement initiatives.
  • Provide high-level analysis and reports on client outcomes and key indicators.
  • Conduct site reviews to ensure compliance and Continuous Quality Improvement across all programs.
  • Open, close, and update client records in various systems, ensuring accurate data management.
  • Track monthly QI & QA metrics for program reporting and assist with organizational audits as needed.

Requirements

  • Bachelor's degree or higher in business, communications, or social services discipline required.
  • Minimum of 4 years' experience in social services required.
  • Experience with HIPAA, Community Care Licensing (CCL), Medi-Cal, and medical billing.
  • Intermediate proficiency in Microsoft Word and Excel, with a typing speed of 45 WPM.
  • Valid driver's license, vehicle, and insurance required.

Nice-to-haves

  • Experience in data analytics and reporting.
  • Familiarity with SharePoint and client data systems.
