About the position

The Program Operations Manager at The University of Chicago plays a crucial role in supporting the Housing & Residence Life department by providing administrative, financial, and operational support. This position involves overseeing the daily operations, managing staff, and ensuring a welcoming environment for students. The ideal candidate will be detail-oriented, proactive, and capable of working in a fast-paced setting while fostering collaboration among various stakeholders.

Responsibilities

  • Provide steadfast support for the day-to-day operations of Housing & Residence Life, prioritizing the comfort, safety, and sense of belonging of residents.
  • Manage departmental operational calendars, room reservations, and expenses for the senior leadership team.
  • Maintain the Executive Director's calendar, exercising discretion regarding priorities.
  • Act as a pivotal support system within the department, identifying and addressing gaps in operations.
  • Serve as a liaison with other administrative staff to ensure collaboration on housing projects.
  • Prepare special reports and summaries, assisting in managing the daily operation of the office.
  • Collaborate with senior leadership, staff, students, and stakeholders to support departmental objectives.
  • Ensure all office materials are ordered and stocked.
  • Triage and resolve email and telephone inquiries, addressing routine and complex issues.
  • Lead the hiring, training, and supervision of Student Administrative Assistants (SAAs).
  • Use University systems to initiate financial transactions and monitor spending reports.
  • Coordinate and plan department events and celebrations to foster community engagement.
  • Assist in professional staff new hire recruitment processes and maintain compliance records.

Requirements

  • A college or university degree in a related field.
  • 2-5 years of work experience in a related job discipline.

Nice-to-haves

  • Experience in higher education or a complex setting.
  • Working knowledge of FERPA and Title IX policies.
  • Advanced knowledge of MS Office.
