About the position

The Program/Project Coordinator position at the Bernalillo County Metropolitan Court in Albuquerque, New Mexico, is a full-time, permanent role within the Facilities Division. The successful candidate will be responsible for a variety of administrative and project management tasks that are essential for the smooth operation of the court's facilities. This role requires a proactive individual who can effectively coordinate multiple projects, manage schedules, and ensure compliance with various regulations and guidelines. The coordinator will work closely with contractors, vendors, and court officials to facilitate meetings, prepare detailed agendas, and manage capital projects from inception to completion. This includes obtaining competitive quotes, monitoring project timelines, and tracking payments and funding balances. Additionally, the coordinator will be involved in scheduling preventative maintenance for buildings, creating project schedules, and preparing reports and presentations for stakeholders. The position also entails acting as a point of contact during the absence of the Program or Project Manager, which requires a strong understanding of program planning and coordination. The coordinator will maintain a tracking system for proposals, contracts, and purchase requisitions, and will be responsible for reconciling travel arrangements and preparing reimbursement requests. The role demands excellent organizational skills, attention to detail, and the ability to interact positively with a diverse range of individuals, including judges, court officials, and the public. The work environment is primarily office-based, but may require travel and interaction in court settings. The coordinator will also need to be adaptable, as the assigned work schedule may include nights, weekends, holidays, and overtime as necessary.

Responsibilities

  • Schedule facility meetings and coordinate contractor and vendor walk-throughs.
  • Prepare detailed agendas and scope of work for projects.
  • Obtain competitive quotes and manage capital projects including requests and proposals.
  • Monitor project timelines and track payments and funding balances.
  • Schedule building preventative maintenance and create project schedules and benchmarks.
  • Research special projects related to building maintenance and repair.
  • Prepare and participate in facility requests for proposals and contract negotiations.
  • Prepare reports and presentations for stakeholders.
  • Coordinate facility events and usage, including contractor background checks.
  • Process New Mexico WorkForce Solutions wage determinations and prepare presentations.
  • Manage contract oversight and create and maintain spreadsheets for project tracking.
  • Work with procurement, finance, and purchasing teams to maintain budget and documentation.

Requirements

  • Bilingual proficiency is required.
  • Experience in project planning and coordination.
  • Mid-level administrative experience is necessary.
  • Valid driver's license is required.
  • Experience in project management, preferably in a law office setting.
  • Minimum of 1 year of relevant experience is required.
  • Associate's degree in a related field is required.
