About the position

The Program Support Assistant (Credentialing Specialist) plays a vital role in the Credentialing and Privileging Program Office at the Cincinnati VA Medical Center. This position is responsible for ensuring compliance with various guidelines and standards, managing provider applications for credentialing, and maintaining the integrity of the credentialing process to support safe patient care. The role involves data collection, analysis, and verification of credentials, as well as communication with healthcare professionals and internal stakeholders.

Responsibilities

  • Ensure compliance with guidelines of the Department of Veterans Affairs and other regulatory bodies.
  • Collect relevant data and support the decision-making process for qualified healthcare professionals.
  • Audit all required credentials for authenticity and veracity according to standards and policies.
  • Review correspondence and communications for the credentials function, prioritizing items for immediate attention.
  • Analyze VetPro reports to detect problem areas requiring further investigation.
  • Manage initial provider applications for Non-LIPs credentialing within the VAMC.
  • Conduct primary source verification of credentials, including licenses and certifications.
  • Ensure application packages meet technical requirements and maintain accurate records in databases.
  • Provide oversight to the application process and analyze exceptions or deviations.
  • Conduct final appointments in the VetPro database after thorough validation of data and documents.
  • Develop and provide routine and special reports as requested.
  • Maintain confidentiality of information in accordance with the Privacy Act.
  • Manage and assure accuracy of database systems related to credentialing operations.

Requirements

  • One year of specialized experience in collecting, analyzing, and validating data.
  • Experience in preparing correspondence and reports related to credentialing.
  • Knowledge of medical specialties and credentialing processes.
  • Ability to communicate effectively with leadership and administrative staff regarding credentialing program changes.
  • Experience managing provider applications and reviewing database reports for discrepancies.
  • Research skills to identify appropriate actions for problem resolution.
  • Training or experience with primary source verification processes.
  • Proficient computer skills, including Microsoft Word and Excel.
  • Strong time management and multitasking abilities.
  • Excellent customer service skills.

Nice-to-haves

  • Experience with the National Practitioner Data Bank (NPDB).
  • Familiarity with The Joint Commission (TJC) standards.
  • Experience in a healthcare setting.
