About the position

The Program Support Assistant (OA) position at the Department of Veterans Affairs serves as the Customer Service and Work Order Clerk within the Engineering Service. This role provides essential administrative support across various sections of Engineering, including Projects, Biomedical Engineering, Maintenance & Repair, and more. The position is focused on ensuring efficient operations and communication within the department, handling work orders, and maintaining accurate records.

Responsibilities

  • Function independently once tasks have been assigned.
  • Prioritize, organize, and collect data for filing.
  • Use Microsoft Outlook extensively for communication with contractors, colleagues, and other VA staff.
  • Maintain adequate records for purchasing using credit card and associated 2237's, adhering to the Federal Acquisition Regulation (FAR).
  • Provide budget updates to immediate supervisors.
  • Prioritize and assign work orders to the appropriate Engineering Shops through the current work order system.
  • Maintain records for timekeeping, overtime/compensatory time, post time daily, and complete necessary corrections to timecards.
  • Coordinate information with the appropriate shop within Engineering for customer needs.
  • Perform computer operations with skill and knowledge, executing, storing, and retrieving documents from different systems.
  • Update the key database with current/accurate information when distributing or collecting assigned keys.
  • Receive and monitor phone calls from various staff members while collecting accurate information.
  • Clear staff when separating from the station using the performance system.

Requirements

  • U.S. Citizenship is required to apply for this job.
  • Selective Service Registration is required for males born after 12/31/1959.
  • Must be able to serve a probationary period if required.
  • Subject to background/security investigation.
  • Participation in the seasonal influenza vaccination program is required for all Department of Veterans Affairs Health Care Personnel (HCP).
  • Participation in the COVID-19 vaccination program is required for all Veterans Health Administration Health Care Personnel (HCP).
  • Specialized experience equivalent to at least GS-4 level in the normal line of progression for the occupation in the organization.

  • Experience with government purchasing.
  • Experience managing multiple fund control points.
  • Knowledge of federal Acquisition Regulation.
