The Program Support Assistant position at the Atlanta VA Health Care System's Surgical and Perioperative Service Line Ophthalmology Clinic involves performing administrative duties to support the Vision Rehabilitation Manager and the Vision Rehabilitation Service. The role is essential for ensuring the smooth operation of the clinic by managing correspondence, tracking statistical information, and serving as a liaison between various service lines and facilities.

  • Prepare correspondence, memoranda, minutes, agendas, reports, and other documents to ensure accuracy in form, grammar, and spelling.
  • Prepare travel and education requests to ensure they are tracked and timely approved.
  • Collect, compile, organize, and track statistical information to support program operations and achievement of program goals and objectives.
  • Maintain the policy and procedure manual (SOPs) for the Service.
  • Receive complaints and grievances from patients or individuals on behalf of patients and escalate complaints if necessary.
  • Investigate complaints and initiate actions or changes necessary to rectify the situation, and prepare Report of Contact if necessary.
  • Serve as liaison between various service lines and other facilities to acquire data on patients, arrange patient travel, and manage inter-facility consults.
  • Administer telephone needs assessments for patients, patient outcomes assessments, and patient/family satisfaction surveys to gather pertinent information for reports.
  • Prepare reports on service line programs to provide information for facility management.
  • Manage device inventory to ensure that devices are ordered and received in a timely manner.
  • Utilize computer programs to enter new patients and update referral status when scheduled.
  • Serve as the receptionist for the service line to ensure calls are received and office mail is distributed.
  • Receive and organize computerized data to capture important information for service line reports.
  • Collect quality assurance data for the service line to provide outcomes measurement.
  • Perform basic analysis of incoming data to generate reports and assist in the reporting of statistical results.
  • Provide amenities that are common for visually impaired veterans, such as human guide techniques, and ensure they can read and appropriately respond to written documents.

  • Participation in the seasonal influenza vaccination program is a requirement for all Department of Veterans Affairs Health Care Personnel (HCP).

  • Specialized experience equivalent to at least GS-06 level in the normal line of progression for the occupation in the organization.
  • Experience in a healthcare setting.
