About the position

The Program Support Assistant position is located in the Office Section of the Facilities Management Service at the VA Southern Oregon Rehabilitation Center and Clinics in White City, Oregon. The role primarily involves providing administrative support for the Veterans Custodial Training Program and the Environmental Management Service (EMS) program, ensuring efficient operations and compliance with safety and sanitation standards.

Responsibilities

  • Providing administrative support for program management for the Veterans Custodial Training Program and the overall EMS program.
  • Monitoring and working with EMS supervisors on the status of competency folders and training documents related to safety and sanitation standards.
  • Assisting the Financial Technician with specific EMS timecard completions.
  • Compiling information for various reports related to sanitation, recycling, shredding, and the Custodial Program.
  • Providing specialized credit card procurement support for furniture, laundry, uniforms, and as back-up support to the Patient Assistance Program (PAP).
  • Tracking and scheduling station level office moves and setups for the EMS supervisor and employees.
  • Assisting other administrative groups as requested.
  • Performing timekeeping duties, taking minutes, preparing agendas, and managing work orders.

Requirements

  • One year of specialized experience equivalent to at least GS-4 level, including knowledge of safety and sanitation standards, uniform, and interior design.
  • Experience in gathering and compiling data for cost analyses and reporting purposes.
  • Ability to perform timekeeping duties and communicate effectively with Veterans and customers.
  • Proficiency in using various software applications for word processing, work orders, and credit card reconciliations.
  • Knowledge of government credit card requirements and reconciliation processes.

Nice-to-haves

  • Experience in administrative support within a healthcare or government setting.
  • Familiarity with Veterans Affairs programs and services.
