About the position

The Program Support Specialist serves as a vital resource for management within the Federal Acquisition Service (FAS) at the GSA Office of Fleet Management. This role involves analyzing and communicating fleet data to ensure compliance with regulations and meet organizational mission needs. The position requires strong administrative skills and the ability to manage confidential information while supporting various operational tasks.

Responsibilities

  • Coordinate and perform basic assignments related to correspondence management, records management, leave administration, and communication.
  • Organize and maintain the office filing system, including digitizing documents for digital filing.
  • Procure and manage supplies and equipment inventory.
  • Create and maintain a tracking system for all correspondence coming in and out of the program office.
  • Scan a high volume of documents and enter and maintain data related to scanned documents into automated systems or databases.
  • Assist in conducting analytical studies related to the programs, activities, and operations of the organization.
  • Prepare a variety of correspondence and other written materials in connection with assigned programs and activities.
  • Collaborate with multiple stakeholders to ensure delivery and adequacy of organizational services.
  • Collect, organize, and prepare a wide variety of administrative forms, reports, and documentation.
  • Prepare information for briefings or presentations for higher-level management, providing recommendations or action plans.

Requirements

  • U.S. Citizenship or National (Residents of American Samoa and Swains Island).
  • One year of specialized experience equivalent to the GS-07 level in the Federal service, including administrative operating processes and customer service.
  • Utilization of computer systems, programs, and databases for automated data input and monitoring.
  • Experience with spreadsheet, document, and presentation software to develop reports and presentations.
  • Ability to create and maintain tracking systems for correspondence and manage filing systems.

Nice-to-haves

  • Experience in governmental fleet administrative policies and procedures.
  • Knowledge of Microsoft Office Suite and/or Google Suite, scanning, filing systems, and data integrity.
