About the position

The Administrative Support Assistant plays a crucial role in providing customer service and administrative support for the Programs & Facilities Division of the City of Cheyenne. This part-time position involves assisting the public with inquiries about recreation programs, managing reservations, and performing clerical tasks such as typing and proofreading documents. The role requires effective communication and organizational skills to ensure smooth operations within the department.

Responsibilities

  • Coordinate and provide support services for department or division manager, monitoring workload and deadlines.
  • Respond to public inquiries courteously and resolve complaints efficiently.
  • Answer telephone calls, take messages, and provide information on departmental policies.
  • Maintain a calendar of activities and coordinate with other City divisions and the public.
  • Prepare, type, and proofread a variety of documents including correspondence and reports.
  • Perform general clerical work, maintaining accurate logs and records.
  • Collect payments, reconcile cash drawers, and issue receipts and refunds.
  • Operate office equipment including multi-line telephones and computers.
  • Provide information and forms to the public, ensuring completeness of applications and records.
  • Participate in the coordination of various programs and register participants.

Requirements

  • High school diploma or GED is required.
  • Ability to type and enter data at a speed necessary for successful job performance.
  • Knowledge of modern office procedures, methods, and computer software.

Nice-to-haves

  • Secretarial or clerical experience is preferred.
