About the position

The Project Accounting Clerk / Bookkeeper IV plays a vital role in coordinating financial workflows to ensure timely payments and support the scaling of the business. This position involves managing various bookkeeping functions, collaborating closely with the Finance Project Manager, and improving cash flow visibility and accuracy as the business grows.

Responsibilities

  • Ownership of all QuickBooks Online functions including project creation, invoicing, accounts receivable/payable, expense/bill creation, and bank reconciliation.
  • Maintain a payment calendar based on the production schedule.
  • Proactively communicate with customers, suppliers, and distributors to ensure on-time payments.
  • Attend production team meetings once per week, potentially late at night.
  • Update projects/tasks with all finance-related information using Asana.
  • Process customer purchase orders and communicate cross-functionally.
  • Manage PayChex to ensure payroll and additional functions are completed accurately.
  • Work closely with outside CPA firms.
  • Provide support for basic HR functions.
  • Gather and provide supporting documentation for invoicing, such as consulting timesheets and shipping costs.
  • Interpret client contracts as they relate to billing terms.
  • Recommend process improvements.

Requirements

  • 3 years of bookkeeping experience (Required)
  • 3 years of experience with QuickBooks Online (Required)
  • Bachelor's degree (Preferred)
  • Intermediate experience with Google Suite (GMail, Google Drive, Sheets, Docs, etc.)
  • Concise verbal and written communication skills
  • Ability to work effectively in a small team in a cross-functional open office environment
  • Organized, detail-oriented, and self-sufficient in electronic document retention
  • Self-confident in learning new processes and procedures to meet varying client expectations.

Nice-to-haves

  • Knowledge of Asana or ability to learn how to use it is a must.
  • International experience, adapting to different time zones and currencies.
  • Patience with potential language barriers.
  • Experience with early-stage or rapid growth companies.
