About the position

The Project Administrative Assistant will support project teams in the construction industry by managing project documentation, assisting with billing processes, and ensuring compliance with company policies. This role requires multitasking across multiple projects and providing administrative support to various divisions within the organization.

Responsibilities

  • Set up projects per company policies
  • Support project teams across multiple projects, multitasking between 3-10 projects with varying scopes of work
  • Prepare billing documents and collect subcontracts/purchase orders
  • Administer contracts and process vendor invoices
  • Maintain job records and facilitate project closeout
  • Ensure compliance and ethics in documentation
  • Support EEO compliance on federally funded projects
  • Manage division contract approvals and provide administrative backup
  • Assist with office tasks like mail management and scheduling
  • Manage office supplies and deliveries
  • Answer phones and greet visitors
  • Finalize and deliver bids/proposals
  • Support hiring needs and office appearance
  • Assist with travel and community service projects
  • Aid project teams with daily tasks

Requirements

  • 2 years of project/support experience in the construction industry; or an Associate's Degree with 1 year of experience
  • High School Diploma or GED
  • Strong communication skills
  • Proficient in Microsoft Office, multi-line switchboards, and office equipment
  • Valid driver's license for company business
