About the position

CSR Engineering is seeking a Project Administrator/Coordinator to be based in our Pleasant View, TN office. This position is expected to begin in September 2024. As a Project Administrator/Coordinator, you will play a crucial role in supporting project managers by overseeing various administrative tasks, communicating effectively with stakeholders, and ensuring that resources are available for the project team. Your contributions will be vital in maintaining the flow of information and documentation necessary for the successful execution of projects. In this role, you will assist Project Engineers on multiple projects, which includes involvement in the bidding process, managing contracts and change orders, and maintaining the project bidder list. You will also help procure documents essential for preparing bids and bid proposals. Your organizational skills will be put to the test as you help set up projects and prepare necessary documentation, track project details and costs, and create invoices using our accounting software to distribute to clients. Additionally, you will manage various project management documents, including project files, plans, specifications, addendums, submittals, schedules, purchase orders, and close-out documents. Your responsibilities will also encompass executing a variety of project management administrative tasks such as data entry, organizing files, invoicing, and managing emails. Supporting project managers and team members to help them complete project tasks will be a key aspect of your role, ensuring that projects run smoothly and efficiently.

Responsibilities

  • Assist Project Engineers on multiple projects including bidding process, contracts and change orders, and maintain project bidder list.
  • Help procure documents for preparing bids and bid proposals.
  • Help set up projects and prepare documents.
  • Track project details, costs, etc.
  • Create invoices via our accounting software and distribute to clients.
  • Manage project management documents such as project files, plans, specifications, addendums, submittals, schedules, purchase orders, and close-out documents.
  • Execute a variety of project management administrative tasks such as data entry, organizing files, invoicing, and email management.
  • Support project managers and team members to help them complete project tasks.

Requirements

  • High school diploma or equivalent
  • 2+ years of contracting/construction office experience
  • Proficiency with Excel and Microsoft Office
  • Excellent communication skills and detail-oriented
  • Accounting knowledge working with general budget tracking, estimating, and accounting practices.
