This position will lead project management activities to organize and execute an efficient planning process for quality improvement, research projects, and committee meetings. Collaborates with multiple ACS based and external teams to support all functions, including management of vendors and contractors. May include delivery of content in a hybrid format with live, streaming, and on demand sessions. On site coordination for optimal conference flow and room set-ups. Must be mindful of timelines, budgets, and quality programs' priorities. In addition, the Project Administrator, CQI Operations will be assigned other projects related to the general administration of quality improvement programs and initiatives. Responsible for general departmental support like ordering supplies, equipment access and inventory, staff directory, all staff meetings, event planning, etc.

Responsibilities

  • Provide strategic management and overall planning for the Quality and Safety Conference.
  • Engage with the CQI team, leadership, and quality program stakeholders to identify needs and gaps.
  • Foster appropriate integration of multiple internal and external teams regarding services and programs.
  • Facilitate the resources required to achieve meeting objectives.
  • Monitor meeting metrics and provide clear objectives and innovative solutions for vendors.
  • Establish and implement policies and procedures that ensure consistent and excellent customer and program support.
  • Develop staff and infrastructure necessary to support activities.
  • Provide support to program staff involved in meeting content.
  • Provide ongoing evaluation of program processes and implement improvements.
  • Plan and oversee the dissemination of comprehensive communication with the different participants or invited constituencies.
  • Maintain departmental supplies, equipment, and space.
  • Support events and meetings for CQI staff.
  • Assume project management and coordination responsibilities for other assigned initiatives.
  • Contribute enthusiastically to an environment of continual performance improvement, team collaboration and service to improve care of the injured patient.
  • Seek and promote areas of integration and alignment within CQI Programs and across ACS activities.
  • Pursue and welcome opportunities for evolution of responsibilities and growth in position.
  • Create and maintain written organizational processes and procedures in support of all projects and activities handled in this program area.

Requirements

  • Bachelor's degree or higher from an accredited college or university is required.
  • At least 2+ years of similar experience coordinating project activities is required.
  • Experience with the content aspect of meeting support is a plus.
  • Excellent communication skills, both verbal and written, are required.
  • Must have strong attention to detail along with the ability to multitask and follow-up on completion of deliverables.
  • Strong working knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint). Tech savvy with the ability to learn new software tools and systems.
