About the position

The New Jersey Structure Tone office is seeking a Project Administrator to join their team. The Project Administrator will be responsible for reviewing all project documents while ensuring their accuracy, quality, and integrity. This role is crucial in helping project teams adhere to record retention policies, safeguarding information, and retrieving data more effectively. The Project Administrator will consistently review projects from start to finish to ensure compliant project documentation, working in systems such as CMiC and PlanGrid to maintain the quality of project documentation including submittals, RFIs, change orders, meeting minutes, and daily reports. In addition to document review, the Project Administrator will develop an overview report to identify potential problem projects early on and collaborate with the Accounting department to identify areas of deficiencies. They will also work with the training department to aid in identifying key areas of training needs. As a team player, the Project Administrator will help develop successful project guidelines, standards, and a document management structure. This position will involve day-to-day document management inspections across multiple projects and assisting project teams in setting up successful projects based on metrics derived from document management oversight. The ideal candidate must be self-directed, able to work independently, and motivated. They should be detail-oriented, dependable, and trustworthy, as they will encounter complex and sensitive documents. Strong organizational skills are essential, including the ability to prioritize tasks, manage time effectively, multitask, and troubleshoot. Excellent interpersonal, communication, and customer service skills are also necessary, as the Project Administrator will communicate with internal and external team members and sometimes business partners. Proficiency in Microsoft Office products is required, and experience in CMiC and PlanGrid is a plus.

Responsibilities

  • Consistently review projects from start to finish for compliant project documentation
  • Work in CMiC to review quality of project documentation including submittals, RFIs, Change Orders, Meeting Minutes, Daily Reports, etc.
  • Work in PlanGrid to review the quality of project documentation, verify RFIs are linked, and ensure Workspaces have been created
  • Develop an Overview report to identify potential problem projects early on
  • Collaborate with the Accounting department to identify areas of deficiencies
  • Assist the training department in identifying key areas of training needs
  • Aid in developing successful project guidelines, standards, and document management structure
  • Conduct day-to-day Document Management inspections across multiple projects
  • Help project teams set up successful projects based on created metrics from document management oversight
