About the position

The New Jersey Structure Tone office is seeking a Project Administrator to join their team. The Project Administrator will be responsible for reviewing all project documents while also ensuring their accuracy, quality, and integrity. This role is crucial in helping each of our project teams adhere to record retention policies, safeguard information, and retrieve data more effectively. The Project Administrator will consistently review projects from start to finish for compliant project documentation, ensuring that all necessary documentation is in place and meets the required standards. In this position, the Project Administrator will work in CMiC to review the quality of project documentation, including submittals, RFIs, Change Orders, Meeting Minutes, Daily Reports, and more. Additionally, they will utilize PlanGrid to verify that RFIs are linked and that Workspaces have been created appropriately. A key responsibility will be to develop an Overview report to identify potential problem projects early on, allowing for proactive management and resolution of issues. Collaboration with the Accounting department will be essential to identify areas of deficiencies, while working with the training department will aid in pinpointing key areas of training needs. The Project Administrator will be a team player, contributing to the development of successful project guidelines, standards, and document management structures. They will also be responsible for day-to-day Document Management inspections across a multitude of projects, ensuring that all documentation is managed effectively. The ideal candidate will possess qualities necessary for document control specialists, including being self-directed, able to work independently, and motivated. They must be detail-oriented, dependable, and trustworthy, as they will encounter complex and sensitive documents. The ability to prioritize, manage time well, multitask, and troubleshoot is essential. Strong interpersonal, communication, and customer service skills are also critical, as the Project Administrator will communicate with internal and external team members and sometimes business partners. Proficiency in Microsoft Office products is required, and experience in CMiC and PlanGrid is a plus.

Responsibilities

  • Consistently review projects from start to finish for compliant project documentation
  • Work in CMiC to review quality of project documentation including submittals, RFIs, Change Orders, Meeting Minutes, Daily Reports, etc.
  • Work in PlanGrid to review the quality of project documentation and verify RFIs are linked
  • Develop an Overview report to identify potential problem projects early on
  • Work with the Accounting department to identify areas of deficiencies
  • Collaborate with the training department to identify key areas of training needs
  • Aid in developing successful project guidelines, standards, and document management structure
  • Conduct day-to-day Document Management inspections across multiple projects
  • Help project teams set up successful projects based on created metrics from document management oversight
