About the position

Elevate your career with BioMed Realty! We're seeking a dynamic Project Administrator to provide critical accounts payable support for our thrilling West Coast Development portfolio. In this pivotal role, you'll not only manage a diverse array of construction contracts and related documentation, but also contribute to a variety of engaging ad hoc initiatives that drive the success of our cutting-edge life science facilities. This position offers a hybrid work model, which includes 4 days in office and 1 day remotely. Hybrid work may be modified based on the needs of the company.

Responsibilities

  • Process Development Invoices
  • Enter vendor invoices into Nexus Payables and manage process to vendor payment.
  • Review invoices for coding and accuracy including proper supporting documentation in accordance with company policy.
  • Interface with internal accountants and internal/external team members to ensure compliance.
  • Prepare, organize, and distribute project data and necessary documentation.
  • Communicate, respond to and follow up with vendors regarding inquiries, discrepancies and resolutions.
  • Provide assistance with ad-hoc projects as requested.
  • Step in to support the team and cover tasks as needed when someone is away.
  • Duties and responsibilities may be subject to change according to the needs of the department.

Requirements

  • Minimum of one to three years' experience in accounts payable within a commercial real estate or construction environment preferred.
  • Understand basic accounting principles and apply them to day to day responsibilities.
  • Familiarity with construction, design, consulting and other third-party contracts, invoices and related documents.
  • Strong verbal and written communication skills and ability to cooperatively interface with cross-functional teams/individuals internally and externally.
  • Ability to demonstrate a commitment to positive team dynamics and to foster a culture of teamwork, communication and partnership to achieve shared goals and maximize collective success.
  • Exemplary work ethic with highly effective time management skills and the ability to meet critical time deadlines.
  • Attention to detail and follow through.
  • Ability to multi-task and prioritize effectively in a fast-paced environment.
  • Proficiency in Microsoft Office software: Word, Excel, PowerPoint and Outlook.

Nice-to-haves

  • Experience in Nexus Payables, Box.com and MRI a plus.
  • Completion of high school diploma; AS/AA degree or equivalent combination of education, training and related experience preferred.
