The Project and Material Coordinator plays a crucial role in overseeing the receipt, storage, and distribution of job materials essential for project execution. This position is responsible for ordering necessary job materials, scheduling deliveries, and managing the company's inventory effectively. The coordinator must possess the ability to utilize Excel spreadsheets and QuickBooks Online to track budgets, dates, and other pertinent information, ensuring that invoicing is completed in a timely manner. In this role, the coordinator will collaborate closely with project managers and stakeholders to develop comprehensive project plans that include timelines, budgets, and resource allocation. They will assist in coordinating project activities, ensuring that all tasks adhere to established schedules and milestones. Maintaining accurate project documentation is vital, including contracts, permits, change orders, and progress reports, which the coordinator will oversee. Effective communication is key in this position, as the coordinator will facilitate interactions among project team members, subcontractors, suppliers, and clients to ensure that project objectives are met. Additionally, the coordinator will support the procurement process by obtaining quotes and coordinating the delivery of materials and equipment. They will also assist in managing project budgets, tracking expenses, and implementing cost control measures. Finally, the coordinator will be responsible for coordinating project closeout billing activities and managing change orders, including submitting and following up on Return Merchandise Authorizations (RMA) and advising technicians on RMA status.
