About the position

The Project Badging Coordinator at KBE Building Corporation plays a crucial role in supporting project teams by managing the badging process for onsite workers. This position involves verifying compliance with administrative requirements, assisting subcontractors, and performing various office support tasks to ensure smooth operations on job sites. The role emphasizes the importance of relationships and proactive communication within the project team.

Responsibilities

• Collect and verify all required documentation in accordance with corporate jobsite badging program, including I-9s, W-4s, and affidavits.
• Assist subcontractors with understanding program requirements and correcting submission errors.
• Monitor badging email box and audit submitted paperwork.
• Issue badges for compliant workers and inform the Project Superintendent of non-compliant workers for removal from the job site.
• Compare daily sign-ins or badge scans against daily reports from subcontractors.
• Prepare Safety orientation stickers and set up users and reference numbers in UPS.
• Assist with editing and processing subcontract agreements and purchase orders.
• Verify that new subcontractors are properly registered and prequalified with KBE.
• Prepare and distribute weekly subcontractor and owner meeting minutes.

Requirements

• 3+ years of administrative assistant experience in a construction-related field.
• Proficient understanding of construction drawings and specifications.
• Proficient in MS Office Suite (Word, Excel, PowerPoint).
• Excellent written and verbal communication skills.
• Strong organizational skills and ability to juggle multiple priorities.
• Sensitivity to confidential matters.
