About the position

The Project Billing Coordinator will manage customer invoicing activities for construction and maintenance projects within the Communications Line of Business. This role supports the Operations Leadership and Project Management team, reporting directly to the Billing Manager. The coordinator is responsible for ensuring timely and accurate billing processes, including invoice preparation, submission, and follow-up on outstanding payments.

Responsibilities

  • Review support documents and prepare invoices for construction and maintenance projects, ensuring accuracy and completeness of billing data.
  • Enter invoices into Viewpoint Vista following established guidelines and procedures to ensure compliance with company policies and SOX controls.
  • Submit invoices to customers via customer portal or email in a timely manner.
  • Monitor and follow up on outstanding invoices to ensure timely payment from customers.
  • Respond to client inquiries regarding billing and payment.
  • Resolve billing issues, discrepancies, and rejected invoices by communicating with customers and internal stakeholders.
  • Collaborate continuously with mid-level and senior leadership, project managers, operations team, and Finance management.

Requirements

  • Associate degree in Accounting preferred.
  • Minimum of 2-3 years of experience in project or construction type billing.
  • Ability to manage multiple priorities and meet deadlines.
  • High degree of accuracy and attention to detail.
  • Excellent communication skills.
  • Intermediate proficiency with Microsoft Excel.
  • Experience with billing in ERP financial systems, such as SAP, JD Edwards, Viewpoint Vista or similar systems.
