About the position

As a Project Communications Specialist at Rose Paving LLC, you will play a crucial role in assisting the Operations Department with effective communication between customers and internal sales and operations staff regarding asphalt pavement maintenance projects. This position is pivotal in ensuring that all necessary business licenses, contractor licenses, bonds, and permits are renewed or obtained for all projects. You will be responsible for collecting data and creating detailed reports, which will require a high level of attention to detail, accuracy, and organizational skills. Your primary responsibilities will include managing all communications with clients about project statuses, emphasizing excellent customer service. You will liaise with key sales personnel, senior management, Project Managers, crews, and subcontractors to ensure smooth project execution. Additionally, you will develop and manage the permit process by creating and submitting all necessary permit applications and maintaining communication with municipalities. You will also be responsible for applying for new business licenses and maintaining existing ones, sending schedule reminder notices to clients, and assisting Project Managers with various operational tasks. This role requires a proactive approach to problem-solving, the ability to coordinate project plans, and the capacity to manage project team activities effectively. You will need to demonstrate strong project management skills, ensuring that projects are completed on time and within budget while maintaining confidentiality and safety standards. The position may also require you to commit to long hours when necessary to meet project goals.

Responsibilities

  • Responsible for all communications with clients regarding project status, emphasizing excellent customer service.
  • Communicate with key sales, senior management, Project Managers, crews, and subcontractors on all projects.
  • Develop and manage the permit process, including creating and submitting all permit applications and communications with municipalities.
  • Apply for new business licenses and maintain existing licenses.
  • Send schedule reminder notices to clients 48 hours prior to project schedule date.
  • Assist Project Managers in creating and standardizing phase maps.
  • Submit tickets for JULIE/DIGGER locates and track in XRM.
  • Monitor project plans established by Project Manager/Superintendent.
  • Prepare project status reports and complete post-job evaluations of work.
  • Assist with overall Operations related tasks as needed.
