About the position

Dikita is an award-winning engineering and program management consulting firm that has been contributing to the nation's infrastructure for over four decades. The Project Contract Coordinator plays a crucial role in ensuring that the firm's projects adhere to the client's procurement policies and procedures. This position is essential for maintaining the integrity of contract management and ensuring compliance with all proposal requirements. The Project Contract Coordinator will be responsible for processing standard contract documents for new business and changes to existing contracts, providing upper management and integrated project team members with contract status updates, and preparing necessary documentation such as Assignment of Work and Statement of Work based on vendor proposals. In this role, the Project Contract Coordinator will also participate in contract preparation, closeouts, and customer contract activities, ensuring that all assigned contracts are managed in accordance with company policies, legal requirements, and customer specifications. The coordinator will work closely with Project Managers and clients to provide administrative support for the vendor selection process, which includes advertising for requests for proposals, gathering submittals, scheduling selection team meetings, and conducting pre-proposal meetings. Additionally, the coordinator will be responsible for reviewing delivery documents to ensure accurate and timely preparation, managing written communications with internal and external vendors, and entering contract data into required client systems and Dikita's Project Management Systems. The position requires a proactive approach to monitoring the district's program systems, such as SharePoint and Oracle, to ensure that documents are processed in a timely manner for obtaining Purchase Orders. The Project Contract Coordinator will also assist in the development and review of professional agreements and front-end bidding documents, making necessary changes according to procurement requests. This role is vital for the successful execution of contracts and the overall success of Dikita's projects.

Responsibilities

  • Follow and enforce the client's procurement policies and procedures.
  • Review, compare, and analyze proposals received from vendors.
  • Coordinate and collaborate with Construction Services Staff, M/WBE staff, Program Management staff, and other Project Management Firms.
  • Act as a primary interface with clients for contractual issues.
  • Process standard contract documents for new business and/or changes to existing contracts.
  • Provide upper management and integrated project team members with contract status updates.
  • Prepare Assignment of Work and/or Statement of Work based on vendor proposals and review for compliance.
  • Participate in contract preparation, closeouts, and customer contract activities.
  • Review work requirements and provide administrative support for the vendor selection process.
  • Prepare and manage written communications with internal and external vendors.
  • Enter contract data into required client systems and Dikita's Project Management Systems.
  • Assist in the development and review of professional agreements and front-end bidding documents.
  • Monitor district's program systems (SharePoint and Oracle) daily.

Requirements

  • Bachelor's degree in business administration, contracts, or a related field; relevant experience may be considered in lieu of a degree.
  • Ability to operate independently using technical and professional experience in contract administration.
  • Clear understanding of project management and ability to work effectively with an integrated project team.
  • Experience with various contract types and a strong working knowledge of professional and construction services.
