About the position

Alphanumeric Systems Inc. is seeking a Project Control Coordinator to join our team in Orlando, FL. This role is crucial for supporting our environmental-friendly energy initiatives focused on sustainability. The ideal candidate will be detail-oriented and capable of working under pressure to meet tight deadlines. The position requires frequent use of Excel and SAP, necessitating a high level of proficiency in these programs to ensure effective performance. The Project Control Coordinator will be responsible for updating and maintaining the Field Service Timekeeping Template, utilizing advanced Excel skills for data manipulation and reporting. This role involves administering Hard Dollar access permissions and managing the library database, as well as facilitating document standardization and process improvements related to timekeeping. The coordinator will provide training to Site Timekeepers, Project Managers, Operations Managers, and Project Control Engineers (PCEs) to ensure compliance and efficiency in timekeeping processes. In addition to these responsibilities, the coordinator will maintain lists of uploaded and revised timekeeping files, compile weekly labor hours summaries, and troubleshoot corrections to submitted timesheets. The role also includes generating reports on labor metrics and coordinating with various stakeholders to address any discrepancies in timekeeping. The Project Control Coordinator will participate in training programs for personal and professional development and will be expected to comply with safety policies and support ISO 9001 compliance initiatives. This position requires effective communication with all levels of employees and external customers, maintaining confidentiality and professionalism at all times. The successful candidate will contribute to building a positive team spirit and support the overall goals of the department and company.

Responsibilities

  • Update and maintain the Field Service Timekeeping Template.
  • Utilize advanced Excel spreadsheets for data manipulation and reporting.
  • Administer Hard Dollar access permissions and library database.
  • Facilitate document standardization and process improvements with timekeeping.
  • Provide training to Site Timekeepers, Project Managers, Operations Managers, and Project Control Engineers (PCEs).
  • Maintain lists of uploaded/revised timekeeping files and weekly summaries on the network.
  • Compile all submitted labor time into a weekly labor hours summary each Monday.
  • Format and distribute preliminary and final weekly timesheet summaries.
  • Troubleshoot corrections to submitted timesheets and update weekly timesheet summary as required.
  • Load weekly timesheet summary to SharePoint.
  • Generate a weekly report of Consecutive Days Worked by Field Personnel.
  • Format and load weekly labor time to service orders in SAP by Friday deadline.
  • Coordinate with site Project Managers, site Timekeepers, PCEs, Operations Managers, and the Payroll Department to address and correct any timekeeping discrepancies.
  • Generate monthly report of total man hours worked or OSHA metrics.
  • Participate in training courses and programs related to overall business and personal development.
  • Comply with all safety policies, practices, and procedures, reporting all unsafe activities to Management and/or Human Resources.
  • Support ISO 9001 compliance and initiatives.
  • Participate in proactive team efforts to achieve departmental and company goals.
  • Communicate effectively with all levels of employees, subcontractors, and internal/external customers in a professional manner.
  • Protect confidential information by not communicating, disclosing to, or using for the benefit of third parties.

Requirements

  • Associate's Degree (AA) or equivalent from a two-year college or technical school; or 1-2 years related experience and/or training; or equivalent combination of education and experience.
  • Ability to read, analyze, and interpret travel and compensation policies.
  • Ability to give clear and understandable instructions in person or remotely.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and other employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Basic personal computer skills including electronic mail, word processing, spreadsheet, internet software, and basic database.
