About the position

The Project Controls Coordinator plays a crucial role in managing and reconciling program controls data with financial systems within Underground Construction Co., Inc. This position is essential for ensuring that all project-related financial data is accurate and aligned with the company's operational goals. The coordinator will compile data necessary for preparing and submitting invoices to clients, ensuring that all financial documentation is precise and adheres to budgetary constraints and board approvals. This role requires a proactive approach to communication and collaboration among project managers, engineers, and coordinators to facilitate smooth project execution with minimal disruptions. In addition to invoice preparation, the Project Controls Coordinator will review pay applications, change orders, and contracts for accuracy. They will gather and track quality data that informs budgets, contracts, change orders, trends, invoicing, and actual costs. The coordinator is responsible for developing, implementing, and maintaining management reporting data to produce comprehensive program controls reports. This includes providing timely feedback to project teams to ensure necessary adjustments are made without causing significant delays. The role also involves reviewing and recommending changes to project documents as required, ensuring compliance with contracts and standards through regular reviews of schedules, risks, costs, and changes. The coordinator will support the project management team by providing integrated, accurate, and timely reports that analyze project progress and highlight critical issues. This position requires the ability to prepare external stakeholder reports and collaborate with senior management to develop and track key performance indicators (KPIs) related to project progress and financial forecasting. The Project Controls Coordinator will also be expected to handle other related duties and projects as assigned, contributing to the overall success of the company's construction projects.

Responsibilities

  • Compile data for preparing and submitting invoices to clients.
  • Review pay applications, change orders, and contracts for accuracy and alignment with budget and board approval.
  • Coordinate and provide document control tools to project managers, project engineers, and project coordinators.
  • Gather and track quality data used for budgets, contracts, change orders, trends, invoicing, and actual costs.
  • Develop, implement, and maintain management reporting data to produce program controls reports.
  • Provide feedback to ensure timely adjustments with minimal disruption to projects.
  • Promote open communication and collaboration between all parties to ensure project completion with minimal disruptions and delays.
  • Review, evaluate, and recommend changes to project documents as required by project needs.
  • Ensure compliance of projects and contractors to contracts and standards through regular reviews of schedules, risks, costs, and changes.
  • Provide input into the implementation and maintenance of an efficient document management system, ensuring compliance across the project team.
  • Provide integrated, accurate, and timely project/program reports with analysis, highlighting critical issues and monthly forecasts for project costs against budgets.
  • Support the Senior Manager, Project Controls or Director of Project Controls in developing progress KPIs and preparing regular reports detailing project progress.

Requirements

  • High school diploma or equivalent required.
  • Strong working knowledge of MS Office, with proficiency in Microsoft Excel a must.
  • Excellent written and verbal communication skills.
  • Ability to handle multiple priorities efficiently and effectively.
  • Ability to work extended hours when necessary for business needs.
  • Experience working in construction is a plus.
  • Ability to develop and maintain positive, cooperative, team-oriented relationships with co-workers, supervisors, managers, clients, and others in contact with the job.
  • Willingness to travel as needed.
