About the position

Convergint is seeking a full-time, enthusiastic, results-driven, and forward-thinking Project Coordinator to join our dynamic team in Tualatin, OR. In this role, you will provide essential administrative support to the local office (CTC) and play a crucial part in the successful delivery of multiple installation projects throughout their life cycle. As a Project Coordinator, you will work closely with various Project Managers to ensure that project delivery meets clients' expectations and is completed on time and within budget. Your contributions will be vital in maintaining a positive culture that embraces inclusion and allows everyone to be the best version of themselves at work and home. In this position, you will act as a central information source by maintaining, communicating, and distributing project details in accordance with company and client requirements. You will be responsible for administering project setup in the financial system and project management application, as well as following up daily with project team members on uncompleted tasks and open issue logs. Your role will also involve documenting actions in the project management application, updating project status with clients regularly, and coordinating project data such as data entry, report generation, and metrics collection. Additionally, you will monitor project budgets, actual costs, and cost commitments using the financial system. You will coordinate with other business areas such as Sales, Service, and Safety regarding project activities, and organize and maintain electronic and hard copy filing systems in accordance with Convergint's record retention policies. Preparing Purchase Orders for project materials, coordinating orders with the purchasing department, and assisting with project closeout documentation will also be part of your responsibilities. Responsibilities

  • Assist with project delivery and administration of multiple installation projects throughout their life cycle.
  • Work with multiple Project Managers to ensure project delivery meets clients' expectations and the project is completed on time and within budget.
  • Administer project setup in financial system and project management application.
  • Act as central information source by maintaining, communicating, and distributing project details in conjunction with company and client requirements.
  • Follow up daily with project team members on uncompleted tasks and open issue logs.
  • Document actions in project management application.
  • Update project status with client on a regular basis.
  • Research, compile, process and coordinate project data e.g. data entry, report generation, metrics collection.
  • Use the financial system to monitor budget, actual project cost and cost commitments.
  • Coordinate with other business areas such as Sales, Service, and Safety relating to project activities.
  • Organize, administer, and maintain electronic and hard copy filing systems in accordance with Convergint's record retention policies and procedures.
  • Prepare Purchase Orders for project materials and coordinate orders with purchasing department.
  • Work with Warehouse, Project Managers, Field Supervisors and Engineering for active tracking of material orders, delivery dates, and reconciliation of project material in warehouse.
  • Prepare project invoices and work with the Project Managers and Accounts Receivable team with analysis and tracking of client invoices.
  • Assist with project closeout documentation and project turnover to Service team for warranty and post-installation support.

Requirements

  • High school diploma or GED required.
  • 1-3 years of administrative support, office management, or equivalent experience preferred.
  • Strong ability to work independently and as a team member.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong attention to detail and service skills for customer care/satisfaction.
  • Strong computer skills, particularly in Microsoft Word and Excel.
  • Excellent organizational skills and the ability to handle multiple projects simultaneously within tight deadlines.
  • Strong analytical skills necessary to resolve problems and look for solutions.
  • Strong financial analytical skills including cost control.
