About the position

EC Electric is seeking a full-time Project Coordinator 2 to join our team in Portland, Oregon. This position plays a crucial role in providing high-level coordination support across various areas, working closely with construction project management staff. The Project Coordinator 2 will support the Project Manager and Assistant Project Manager by ensuring accurate and efficient tracking of project documentation. This includes maintaining and controlling the billing process and schedules in accordance with contract requirements. The ideal candidate will have a strong background in administrative support within the electrical construction industry, demonstrating a commitment to quality, safety, and integrity in all aspects of their work. In this role, you will assist with project start-ups and close-outs, providing front desk relief and additional administrative support as needed. You will prepare routine correspondence, assist with bid forms and proposals, and maintain a Bid Tracking Log. Your responsibilities will also include managing subcontract checklists, ensuring compliance with certificate of insurance requirements, and tracking contractual obligations such as certified payroll and affidavits. You will review specifications for required documentation, create submittal packages, and handle monthly lump sum billings for subcontracts valued between $100k and $5M. Additionally, you will log and track various project-related documents, assist with writing RFIs, and manage material orders. The Project Coordinator 2 will also be responsible for processing electrical permits and coordinating plan reviews, as well as creating O&M packages from information provided by the Project Manager or Assistant Project Manager. This position requires a high level of customer service, attention to detail, and the ability to work independently while managing multiple tasks effectively. Other duties may be assigned as needed to support the overall success of the projects and the team.

Responsibilities

  • Assist with project start-ups and close-outs.
  • Provides front desk relief and/or additional administrative support to others to help meet business and staffing needs.
  • Prepares routine correspondence (letters, memos, meeting notes and proposals).
  • Assist with bid forms, proposals, and vendor proposals.
  • Create and maintain Bid Tracking Log with Bid Numbers.
  • Manage Subcontract Checklist.
  • Ensure compliance with Certificate of Insurance Requirements, Bonds, and Billing Requirements.
  • Track Contractual Requirements (Certified Payroll, OCIP/CCIP, Affidavits).
  • Review specifications for hard/soft copies required.
  • Create submittal packages from information provided by the Project Manager or Assistant Project Manager.
  • Handle monthly lump sum billings for subcontracts valued $100k-$5M (Including Pay Apps, SOV, Lien Waivers, Certified Payroll).
  • Log and track insurance, bonding, permits, submittals, RFI's, change orders correspondence, and drawings.
  • Provide copies or scans of drawings.
  • Assist with writing RFI's.
  • Assist with material orders and/or tracking.
  • Prepare routine correspondence (letters, memos, meeting notes).
  • Assist with creating tiered subcontracts, managing compliance, and assisting with change management.
  • Process electrical permits and plan reviews with supporting documentation.
  • Review specifications or client documentation for O&M, create O&M package, and coordinate record drawings for submission.
  • Other duties as assigned.

Requirements

  • Three or more years of lead administrative experience in the electrical construction industry, or additional years of related administrative construction experience in lieu of electrical construction experience.
  • High level of customer service to internal and external customers.
  • A high degree of accuracy and attention to detail.
  • Experience with Viewpoint Construction Software preferred.
  • Ability to work independently.
  • Excellent communication skills (written and verbal).
  • Proficiency at the intermediate or higher level in MS Word and Excel.
  • Ability to prioritize and organize workload effectively.
  • Ability to handle multiple tasks to successful and on-time completion.
