About the position

Convergint is seeking a full-time Project Coordinator to join their dynamic team. This role is essential for managing the administrative aspects of projects from award through completion, ensuring that Convergint continues to provide world-class service to its customers. Responsibilities

  • Responsible for administrative aspects of assigned projects from award through completion including planning, scheduling, subcontractor and material procurement, installation, invoicing, and close-out.
  • Coordinate project requirements, related field tasks and activities with the Field Project Manager.
  • Maintain accurate and up-to-date records of job status, job changes, material flow, and other control records necessary for processing of internal and external reports.
  • Enter data for new projects and change orders into the accounting system.
  • Provide project financial oversight including forecasting revenue, monthly invoicing, cashflow, and budget vs cost reviews.
  • Establish project milestones and analyze costs; review actual vs estimated job cost and provide timely and accurate project cost reports.
  • Coordinate with Design Team for project design requirements when required.
  • Procure materials, supplies, and subcontractors necessary for timely and cost-effective completion of the project within budget.
  • Proactively communicate project schedules, project change proposals, and related project activities with customers to improve satisfaction.
  • Work with Accounts Receivable team to ensure timely payment from customers.
  • Act as the customer's best service provider by providing timely updates on projects and addressing concerns quickly.
  • Identify potential project risks and develop/implement strategies to minimize impact and control deviations from estimated costs and project deadlines.
  • Perform other duties and responsibilities as requested or required.

Requirements

  • High School/GED or equivalent experience.
  • Strong communication skills.
  • Solid Microsoft Outlook, Excel, and Word skills.
  • Solid organizational skills and the ability to handle multiple project tasks simultaneously.
  • Excellent attention to detail.
  • Solid verbal, written, and interpersonal communication skills.
  • Shows initiative and engages in proactive behavior.
  • Adaptable to changes in situation or information; ability to influence others and build consensus.
  • Developing financial analytical skills including cost control.
  • Basic ability to facilitate a collaborative working environment.

Nice-to-haves

  • 1-3 years administrative support or office management experience.
  • 1-3 years maintaining and registering in industry state licensing programs.
