About the position

Convergint Technologies is seeking a full-time Project Coordinator who will play a crucial role in managing various administrative aspects of projects from inception to completion. This position is designed for individuals who are enthusiastic, results-driven, and eager to contribute to a positive company culture that values inclusion and personal growth. The Project Coordinator will work closely with the Field Project Manager and other team members to ensure project milestones are met while maintaining high levels of customer satisfaction.

Responsibilities

  • Responsible for administrative aspects of assigned projects from award through completion, including planning, scheduling, subcontractor and material procurement, installation, invoicing, and close-out.
  • Coordinate project requirements and related field tasks with the Field Project Manager.
  • Maintain accurate and up-to-date records of job status, job changes, material flow, and other control records necessary for processing internal and external reports.
  • Enter data for new projects and change orders into the accounting system.
  • Provide project financial oversight, including forecasting revenue, monthly invoicing, cash flow, and budget vs. cost reviews.
  • Establish project milestones and analyze costs, reviewing actual vs. estimated job costs and providing timely project cost reports.
  • Identify reasons for low job site productivity and adjust project plans or cost estimates as necessary.
  • Coordinate with the Design Team for project design requirements when needed.
  • Procure materials, supplies, and subcontractors for timely and cost-effective project completion.
  • Communicate project schedules, change proposals, and related activities regularly with customers to improve satisfaction.
  • Work with the Accounts Receivable team to ensure timely payment from customers.
  • Act as the customer's best service provider by providing timely updates and addressing concerns promptly.
  • Identify potential project risks and develop strategies to minimize impact and control deviations from estimated costs and deadlines.
  • Perform other duties and responsibilities as requested or required.

Requirements

  • High School diploma or GED or equivalent experience.
  • Strong communication skills.
  • Solid Microsoft Outlook, Excel, and Word skills.
  • Excellent attention to detail and organizational skills.
  • Ability to handle multiple project tasks simultaneously.
  • Solid verbal, written, and interpersonal communication skills.
  • Shows initiative and engages in proactive behavior.
  • Adaptable to changes in situation or information.
  • Developing financial analytical skills including cost control.

Nice-to-haves

  • 1-3 years of administrative support or office management experience.
  • 1-3 years of experience maintaining and registering in industry state licensing programs.
