About the position

Trileaf Corporation is a nationwide environmental, architecture, and engineering consulting firm that assists clients with environmental due diligence, regulatory compliance, and engineering & architectural design. The company serves various industries including wireless communications, commercial real estate, financial, and petroleum from its headquarters in St. Louis, MO, and multiple branch offices throughout the U.S. The Project Coordinator position is a full-time role within the Commercial Team, based in St. Louis, MO. This role is crucial for providing clerical and administrative assistance to the Group Manager overseeing the Commercial Team. The Project Coordinator will be responsible for entering new project information into Trileaf's internal tracking software, setting up new reports using appropriate templates, and creating proposal requests. Additionally, the role involves performing quality assurance and quality control (QA/QC) of client project orders, tracking bids, and noting wins and losses. The Project Coordinator will also be tasked with the creation of billing memos and reliance letters, ordering data packages, and pulling project trackers while formatting them for delivery to clients within established timelines. Other duties may be assigned as necessary to support the team and ensure project success.

Responsibilities

  • Enter new project information into Trileaf's internal tracking software.
  • Set up new reports using the appropriate templates.
  • Create proposal requests.
  • Perform QA/QC of client project orders.
  • Track bids and note wins and losses.
  • Create billing memos and reliance letters.
  • Order data packages.
  • Pull project trackers and format for delivery to clients within established timelines.
  • Complete other duties as assigned.

Requirements

  • Good computer skills with strong working knowledge of MS Office (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat.
  • Attention to detail in composing, typing, and proofing of materials.
  • Ability to establish deadlines and prioritize tasks by deadlines.
  • Ability to complete tasks quickly and on relatively short notice with minimal direction/oversight.
  • Excellent written and oral communication skills.
  • Strong client service skills with the ability to interact with all levels of management.
  • Ability to develop relationships with team members.
