About the position

The Project Coordinator/Administrative Assistant role involves providing essential administrative support to the office personnel of an insulation and drywall company. The position focuses on maintaining job progress documentation, facilitating communication among team members, and ensuring compliance with safety regulations. The ideal candidate will be reliable and may receive training to develop necessary skills.

Responsibilities

  • Provide daily administrative support to office personnel.
  • Set up and maintain all jobs in progress in the company computer system on a daily basis.
  • Maintain supporting work in progress paperwork flow on a daily basis.
  • Facilitate communication between office, salespeople, and field personnel.
  • Facilitate inquiries and communication with customers.
  • Assist in performing, coordinating, and submitting paperwork for weekly Tool Box Talks.
  • Call in and follow up on required inspections.
  • Assist in maintenance, monitoring, report creation, and distribution for the company GPS system.
  • Assist with preparation and maintenance of various internal data lists and reports.

Requirements

  • Working knowledge of OSHA compliance and safety guidelines.
  • Experience with Microsoft Outlook, Excel, and Word.
  • Knowledge of JobCore and job costing is a plus.
  • Reliability and strong communication skills.

Nice-to-haves

  • Bilingual in Spanish is helpful.
