About the position

The Project Coordinator and Office Support position at Bureau Veritas is a dynamic role that combines technical and administrative support for field and operations staff. This hybrid position requires the employee to work three days in the Ellicott City, Maryland office and two days remotely. The primary responsibility of this role is to ensure the smooth execution of project tasks, which includes managing project setups, scheduling, communication, and coordination with various stakeholders. The Project Coordinator will be involved in client kick-off calls, assist in documenting program expectations, and address any client comments or questions. In addition to project management, the role involves monitoring field resource licenses and qualifications, managing stock of physical materials, and ensuring that accurate project information is maintained according to contractual requirements. The Project Coordinator will also be responsible for developing reports that define project progress and problems, tracking data through web-based project management tools, and coordinating contract administration tasks. This position requires strong communication skills to effectively liaise with clients, vendors, and internal teams, ensuring that all project-related activities are executed efficiently and effectively. The ideal candidate will possess a high school diploma or GED, with some college education preferred, and a minimum of two years of administrative experience. The role demands proficiency in technology, particularly in word processing, spreadsheet, and project management software. The Project Coordinator must demonstrate excellent time management, critical thinking, and problem-solving skills, along with the ability to work independently and as part of a team. The position also requires the ability to meet physical demands, including occasional lifting of up to 10 pounds, and maintaining a safe and clean work environment. Responsibilities

  • Provide technical and administrative support to field and operations staff.
  • Manage stock of physical materials in the office, including shipping field supplies and barcodes.
  • Monitor field resource licenses and qualifications to determine additional resourcing needs.
  • Participate in client kick-off calls with operations and sales teams.
  • Assist with documenting and reporting on program expectations and requirements.
  • Coordinate scheduling activities with clients and communicate assignments with the field team.
  • Track activity of field staff to ensure maximization of resource activity and work assignments.
  • Ensure accurate project information is set up according to contractual requirements.
  • Develop reports defining project progress, problems, and solutions for stakeholders.
  • Coordinate contract administration, purchase orders, and change orders.
  • Assist in developing a network of qualified subcontractors to support operational services.
  • Perform special projects as assigned by the leadership team.

Requirements

  • High school diploma or General Education Diploma (GED) required; some college preferred.
  • Minimum of two years of administrative experience.
  • Proficient in operating a computer and knowledge of word processing, spreadsheet, and project management software.
  • Ability to read, analyze, and interpret project/technical documents and governmental regulations.
  • Strong oral and written communication skills.
