About the position

The Project Coordinator for the Birth Defects Registry at MPHI is responsible for overseeing the operational aspects of the statewide birth defects registry in Michigan. This role involves ensuring compliance with national standards, conducting audits, and providing technical support for data collection and processing. The coordinator will also prepare instructional materials, conduct training sessions, and collaborate with various stakeholders to enhance the quality and completeness of birth defects surveillance data.

Responsibilities

  • Develop and conduct coordinated statewide field efforts to evaluate reporting quality and completeness of birth defects surveillance data.
  • Prepare audit and instructional materials to evaluate the completeness and accuracy of statewide birth defects surveillance data under the guidance of the birth defects coordinator.
  • Conduct audits (remote, onsite) for health record reviews.
  • Use data from audits to evaluate the quality and add missed cases to the registry.
  • Consolidate data and prepare reports related to those activities.
  • Conduct training of facility staff as necessary.
  • Disseminate reports to facilities and members of the birth defects team for consideration as a collaborative group.
  • Assist with the overall specifications and requirements for the birth defects data system.
  • Assist with the development and maintenance of specifications for both purposefully collected and linked data.
  • Advise on the development of administration of rules to implement the authorizing legislature and computer system specifications.
  • Attend all required team meetings to collaborate and share ideas and information with other individuals involved in the Birth Defects Program.
  • Update registry manuals, forms, and data collection instruments as necessary and disseminate the information to reporting facilities and birth defects staff.
  • Aid in the design and development of specialized tools for case ascertainment, such as ICD-10 coding crosswalks for diagnostic data and detailed master variable formats.
  • Provide guidance, consultation, and technical direction to other professional staff in relation to the birth defects registry activities.
  • Prepare statistical tabulations and report and distribute to entities within the department, as well as in the community.
  • Aid in the design and conduct of procedural steps for processing of birth defects surveillance data, including integrated software routines.
  • Process all birth defects data reported from facilities within one month of file submission and determine when modifications are necessary to ensure timely processing of birth defects surveillance data.
  • Coordinate activities by the birth defects registry effort with other department/program activities targeted towards birth defects.
  • Provide support, training and consultation, and technical direction as needed for statewide activities targeted towards birth defects.
  • Collaborate with individuals in other areas of the Vital Records section to utilize any shared data or methods that may be useful to the registry.
  • Work closely with, and give technical direction based upon specialized knowledge related to registry operations to individuals who process incoming birth defects data.
  • Prepare raw data for statistical purposes and work on special projects.
  • Provide input and guidance in the field of health care coding systems, record storage and security and utilization of health care services in matters related to case ascertainment and management/utilization of registry data.
  • Conduct special studies with regards to the registry surveillance data.
  • Aid in the design and development of registry protocols and documents necessary for conduct of special studies, including cost estimates, delivery dates and other factors while conducting activities within statewide parameters.
  • Develop all documents and correspondence with reporting entities as necessary for comprehensive review of health records and conduct onsite or remote review of health records.
  • Aid in the design and development of complex reports and assist with the development of posters and other media from the resulting data, including distribution of results with appropriate stakeholders.

Requirements

  • Bachelor's Degree in a relevant field.
  • Experience in public health, data management, or a related area.
  • Knowledge of health care coding systems and record storage.
  • Strong analytical and reporting skills.
  • Ability to conduct training and provide technical support.

Nice-to-haves

  • Experience with birth defects surveillance data.
  • Familiarity with ICD-10 coding and health information management.
  • Previous experience in a public health setting.
