About the position

The Project Coordinator at the Center for the Study of Race, Ethnicity & Equity at Washington University in St. Louis plays a crucial role in managing strategic and special projects, including the Center's new initiative, "The Engaged City." This position provides executive-level administrative support to the leadership team and serves as a central resource for coordinating the Associate Director's administrative needs and directives. The Project Coordinator is responsible for overseeing several ongoing initiatives and must exercise sound judgment in decision-making while establishing priorities for completing work assignments. In addition to project management, the Project Coordinator will lead various strategic initiatives and events sponsored by the Center. This includes collaborating with the Associate Director to develop and maintain project objectives, determining priorities, and actively participating in organizational initiatives. The role requires effective communication and coordination skills to manage the Center's calendar, schedule meetings, prepare materials, and draft correspondence. The Project Coordinator will also be responsible for managing program and project accounts, processing travel arrangements, and creating high-level presentations. The position also involves web content management, where the Project Coordinator assists with the daily organization of the Center's website, reviews website analytics, and develops communication strategies in collaboration with the Associate Director. The role requires a proactive approach to managing daily activities and ensuring that all tasks are completed efficiently and effectively, contributing to the overall success of the Center's initiatives.

Responsibilities

  • Manage key initiatives for special projects.
  • Conduct data collection, management, and analysis to inform strategic decision-making and resource allocation.
  • Participate actively in organizational initiatives and projects by establishing objectives, determining priorities, leading teams, and problem-solving.
  • Coordinate various components of daily activities for the Center's new Engaged City project, including scheduling meetings and managing timelines.
  • Coordinate the Community-Fellow-in-Residence Program.
  • Work with web designers and grant awardees to develop content for the Engaged City online.
  • Prepare regular reports for the Provost's Office and the Mellon Foundation about the project in collaboration with the Associate Director.
  • Draft presentations and communications for various audiences to communicate information about the project.
  • Manage the Center calendar, scheduling calls, meetings, and correspondence, and prepare meeting materials and follow-up documents.
  • Draft and initiate correspondence on behalf of the Center; draft reports and other written materials.
  • Act as rapporteur for Office/Leadership and Committee meetings, responsible for all follow-up action items.
  • Coordinate and plan speaking agendas and related support in collaboration with relevant staff.
  • Manage program and project accounts, process travel arrangements and reports, and serve as the Associate Director's delegate in selected systems.
  • Create high-level designs of PowerPoint presentations and prepare preparatory outlines for presentations, including charts and graphs as needed.
  • Stay abreast of news, updates, and changes on campus, fact-check presentations prepared for and by others, and manage materials and supplies for the office.
  • Assist with content and daily organization of the Center website, review and track website analytics, and develop web strategy in collaboration with campus partners and CRE2 affiliates.
  • Manage daily email correspondence.

Requirements

  • Bachelor's degree preferred.
  • Prior experience in developing and managing projects.
  • Experience with project management tools and applications.
  • Excellent writing and editing skills.
