About the position

Orion Office REIT Inc. is seeking a Project Coordinator to support the Vice President of Construction Operations in managing construction-related work for a national portfolio of office properties. This role is crucial in ensuring that all construction projects are executed efficiently and effectively, maintaining high standards of quality and compliance. The Project Coordinator will be responsible for coordinating tenant maintenance issues, requests, and associated contracts, ensuring that all parties involved are informed and aligned throughout the process. The ideal candidate will possess a detail-oriented mindset, strong organizational skills, and the ability to problem-solve in a fast-paced environment. The Project Coordinator will maintain the Procore Project Management Database, serving as the primary point of contact for vendor and tenant inquiries related to construction and maintenance activities. This includes tracking and maintaining vendor certificates of insurance and other required documents to ensure compliance with contractual obligations. Additionally, the role involves financial responsibilities, such as ensuring proper processing and alignment between billing, ERP, and Project Management Software for construction-related accounting. The Project Coordinator will interact with the Orion Accounting team to resolve any discrepancies in reporting related to the construction management department's activities, and will also assist with other financial support duties as required. Candidates should have a strong familiarity with widely used contractual agreements and invoicing requirements, including common AIA agreements. Excellent verbal and written communication skills are essential, as the Project Coordinator will need to effectively communicate with multiple departments and all levels of management and staff. The position requires significant experience with project management platforms, with Procore being strongly preferred, as well as experience in preparing comprehensive financial reports spanning multiple projects. This role offers a hybrid work schedule, with in-office work required Tuesday through Thursday and remote work on Monday and Friday.

Responsibilities

  • Support the Vice President of Construction Operations on construction-related work.
  • Coordinate tenant maintenance issues, requests, and associated contracts.
  • Maintain the Procore Project Management Database.
  • Serve as the point of contact for vendor and tenant inquiries related to construction and maintenance activities.
  • Track and maintain vendor certificates of insurance and other required documents.
  • Ensure proper processing and alignment between billing, ERP, and Project Management Software for construction-related accounting.
  • Interact with Orion Accounting to resolve discrepancies in reporting related to construction management activities.

Requirements

  • Bachelor's degree in a relevant field.
  • 5+ years of experience in Construction/Development Industry Project Management Support or 10+ years of relevant experience without a degree.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Significant experience with project management software, particularly Procore.
  • Familiarity with widely used contractual agreements and invoicing requirements, including AIA agreements.
