About the position

The Project Coordinator (Construction) plays a crucial role in supporting the Director of the Construction & Real Estate Office and Construction Project Managers in the planning and execution of large capital projects. This position involves managing project documentation, scheduling, and ensuring compliance with diocesan standards throughout the project lifecycle, from initial concept to final completion.

Responsibilities

  • Schedule meetings necessary for successful project planning and execution, prepare meeting agendas and presentations, attend meetings, take detailed notes, and prepare meeting minutes.
  • Analyze diocesan standards to determine required documentation for contracts, amendments, and change orders, ensuring all documentation is in order for execution.
  • Coordinate with the Diocesan Construction & Real Estate Office Coordinator to process and distribute executed contract documents, saving them in project files.
  • Draft and maintain project schedules in Microsoft Project, evaluating inputs and constraints to optimize efficiency.
  • Ensure stakeholders and external contractors fulfill schedule commitments, using persuasive skills to influence actions and decisions.
  • Solicit proposals from architects, contractors, and vendors for large capital projects, review proposals, and analyze data to recommend contract awards.
  • Review project invoices and recommend approval or rejection of payments based on professional judgment.
  • Organize and manage all project documentation in project files.

Requirements

  • Bachelor's degree or greater in an associated field preferred.
  • Minimum of 2 years related experience, preferably in school and church building construction.
  • Proven ability to influence decision-making for key business operations.
  • Demonstrated critical thinking and problem-solving skills.
  • Eagerness to learn and develop additional skills by taking on challenging tasks.
  • Ability to work both independently and as part of a team.
  • Basic knowledge of project management principles and practices.
  • Advanced proficiency in Microsoft Office products including Word, Excel, PowerPoint, Outlook, Project, and Teams, as well as Adobe Acrobat Pro.
  • Excellent verbal and written communication skills.
  • Ability to maintain professionalism in a sensitive and complex environment.
  • Strong planning and organizational skills, detail-oriented.
  • Working knowledge of building design and construction processes and accounting principles.

Nice-to-haves

  • Experience working in school and church building construction.
