About the position

The Project Coordinator at Five Star Energy Services is responsible for coordinating all activities in the field, working closely with Superintendents and Project Managers. This role requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously while ensuring effective communication and adherence to deadlines. The Project Coordinator will assist in maintaining project documentation, tracking expenses, and ensuring quality standards throughout the project lifecycle.

Responsibilities

  • Assist in developing, updating, and maintaining accurate project documentation including plans, schedules, reports, and budgets in collaboration with project managers.
  • Coordinate resources, materials, and equipment for project activities, ensuring efficient utilization.
  • Identify and assess project risks and work with the team to develop mitigation strategies.
  • Monitor and maintain quality standards throughout the project lifecycle.
  • Identify documentation deficiencies and report to appropriate project leaders.
  • Assist in tracking project expenses, maintain financial records, verify project final quantities, and prepare the final closeout package for billing.
  • Generate regular project status reports and updates for internal and external stakeholders.
  • Act as a liaison between project managers, team members, and stakeholders to ensure effective communication.
  • Collaborate with the team to address and resolve project-related issues in a timely manner.
  • Ensure project success by adhering to industry regulations, safety standards, procedures, initiatives, and company policies.
  • Schedule and organize project meetings, prepare agendas, and document meeting minutes.

Requirements

  • Proven experience for 2-3 years as a Project Coordinator or similar role in the construction or infrastructure industry.
  • Strong knowledge of Microsoft Office, specifically Excel.
  • Excellent spelling, composition, and grammar skills.
  • Critical thinking, time management, problem-solving, and analytical skills.
  • Strong organizational, time management, and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Knowledge of construction processes, regulations, and safety protocols.
  • Detail-oriented with proactive problem-solving skills.
  • Ability to work independently as well as collaboratively in a team environment.
