About the position

At Chromalox, part of Spirax Group, we build advanced thermal technologies for the world's most challenging industrial heating applications. This position of Project Coordinator (Document Technician) is crucial for ensuring the smooth flow of documentation between customers, suppliers, and internal teams. The role is responsible for sending and receiving all documentation, controlling internal and external deadlines, and maintaining accurate records of all document inputs and outputs. The qualified candidate will monitor the documentation process, ensuring that all engineering, testing, and project-specific documents are managed effectively. The Project Coordinator will perform Document Control functions within the Company's Document Management System, tracking and maintaining revision cycle times in collaboration with project engineers. This role is essential for ensuring that all documentation circulates according to established deadlines, allowing project teams to take necessary actions related to technical and commercial content. The candidate will also conduct document quality assurance audits, reviewing incoming and outgoing documentation to identify gaps and opportunities for improvement. In addition to these responsibilities, the Project Coordinator will customize documentation based on project requirements, prepare customer submittals, and analyze technical documentation from customers and suppliers for accuracy and suitability. The role also involves generating presentations, tables, and graphs as needed, editing equipment manuals, and preparing the Project Databook according to project specifications. The Project Coordinator will play a fundamental role in supporting and monitoring adherence to Chromalox's Code of Conduct, contributing to a culture of integrity and excellence within the organization.

Responsibilities

  • Perform Document Control functions within the Company's Document Management System.
  • Track, monitor, maintain and work with specific project engineers on revision cycle times.
  • Ensure that all documentation circulates according to the deadlines established in the project.
  • Update document control to allow project teams to take actions related to technical and commercial content with customers and suppliers.
  • Perform document quality assurance audits by reviewing and assessing incoming and outgoing documentation.
  • Identify gaps and opportunities to improve current documentation methods.
  • Customize documentation according to project requirements.
  • Prepare customer submittals based on documentation prepared by the Design Engineer or other team members.
  • Analyze technical documentation from customers and suppliers for accuracy and suitability for the project scope.
  • Generate presentations, tables, and graphs as needed.
  • Edit equipment manuals for review by Design Engineering and Project Managers.
  • Prepare and submit Project Databook according to project requirements.
  • Organize and revise documents to avoid mistakes that create re-work.
  • Support, teach, and monitor the fulfillment of Chromalox's Code of Conduct.
  • Perform other duties as assigned through identified and established process improvements.

Requirements

  • Two (2) year technical degree, diploma, or global equivalent preferred.
  • Experience in a Document Control role preferred, but not required.
  • Familiarity with database management and Microsoft Office software including MS Projects & SharePoint document origination.
