About the position

The Project Coordinator, Education and Learning, plays a crucial role in supporting academic learning by working closely with curriculum and instructional staff. This position is responsible for planning, coordinating, and facilitating various instructional programs and services. The Project Coordinator serves as a vital liaison between the assigned programs, other Intermediate School District (ISD) programs, and staff from constituent school districts, as well as business and community partners and institutes of higher education. This role requires a proactive approach to ensure that all educational initiatives are effectively communicated and executed. In this position, the Project Coordinator will collaborate with other staff members within the department to maintain a consistent workflow and ensure the timely completion of departmental activities. This includes scheduling, coordinating, and promoting meetings, events, and activities as required. The Project Coordinator will also be responsible for preparing written correspondence, complex reports, and newsletters, while maintaining confidentiality and accurate records of all relevant information. Additionally, the Project Coordinator will assist in the preparation and distribution of materials for meetings, programs, and training activities. They will create and maintain accurate databases to support departmental activities and utilize accounting software for routine bookkeeping tasks, such as preparing purchase orders and invoices. The role also involves assisting the department director and/or assigned coordinators in planning and coordinating instructional programs and services, tracking attendance, and maintaining program records. The Project Coordinator may also develop and monitor contracted service agreements and coordinate professional development activities, ensuring compliance with grant requirements and business office procedures. Overall, this position is essential for the smooth operation of educational programs and services within the district.

Responsibilities

  • Serves as a liaison between the assigned program(s), other ISD programs and staff from the constituent school districts and business/community partners.
  • Collaborates with other staff within the department to ensure consistent workflow and timely completion of department activities.
  • Schedules, coordinates and promotes meetings/events/activities in assigned area as required by the position.
  • Prepares written correspondence, complex reports and newsletters as requested.
  • Maintains confidential information, files and accurate records.
  • Assists with preparation and distribution of materials for meetings, programs and training activities.
  • Creates and maintains accurate, up-to-date databases in support of department activities, events and programs.
  • Utilizes current accounting software to perform routine bookkeeping tasks, such as preparing purchase orders, invoices, check requests, travel reimbursements and payroll.
  • Responsible for assisting department director and/or assigned coordinator(s) with planning and coordinating instructional programs/services for staff and or students to include tracking attendance and maintaining program records and credit information.
  • Serves as liaison between Intermediate and Constituent district staff.
  • May develop and monitor contracted service agreements with outside consultants, agencies and other RESD's as required.
  • May coordinate and organize professional development activities, to include application and reporting process for SCECH's and/or college credit.
  • Creates and distributes brochures/flyers and instructional materials for program(s).
  • Utilizes on-line professional development software to promote and manage registration process.
  • May assist the department director and/or coordinator(s) to ensure that budget and grant expenses comply with grant requirements, board policy, and business office procedures.
  • Assists department director and/or coordinator(s) in data collection, data entry, data analysis and data reporting for research or evaluation as directed.
  • May assist with the installation of instructional and/or assessment software, and provide training as directed.

Requirements

  • High school diploma or equivalent is required.
  • Experience in coordinating educational programs or services is preferred.
  • Proficiency in accounting software for bookkeeping tasks is required.
  • Strong organizational skills and attention to detail are necessary.
  • Excellent written and verbal communication skills are essential.
  • Ability to maintain confidentiality and manage sensitive information is crucial.

Nice-to-haves

  • Experience in educational settings or with curriculum development is a plus.
  • Familiarity with professional development processes and requirements is beneficial.
