About the position

We are seeking a detail-oriented and experienced Project Coordinator for a long-term contract role. This is an onsite position requiring full-time presence, with a focus on event planning and project coordination. The ideal candidate will have a strong background in managing both internal and external events, ensuring alignment with business objectives. The Project Coordinator will be responsible for leading the planning and execution of events, which includes creating detailed event schedules, managing budgets, and generating reports. This role requires a proactive approach to ensure that all aspects of the events are executed flawlessly and meet the expectations of stakeholders. In addition to event planning, the Project Coordinator will be tasked with vendor and venue management. This involves researching and booking event venues, vendors, and suppliers, ensuring that all event elements align with business goals. The coordinator will oversee event logistics, which includes venue selection, catering, entertainment, staffing, and more, ensuring smooth operations from start to finish. Collaboration is key in this role, as the Project Coordinator will work closely with internal teams and stakeholders to coordinate invitees, materials, and event goals. Furthermore, the role includes contractor and supplier management, where the coordinator will collaborate with teams to coordinate contractors and pricing, ensuring quality service and products.

Responsibilities

  • Lead the planning and execution of events, including creating detailed event schedules, managing budgets, and generating reports.
  • Research and book event venues, vendors, and suppliers, ensuring all event elements meet expectations and business goals.
  • Oversee event logistics, including venue selection, catering, entertainment, staffing, and more, ensuring smooth operations from start to finish.
  • Work closely with internal teams and stakeholders to coordinate invitees, materials, and event goals.
  • Collaborate with teams to coordinate contractors and pricing, ensuring quality service and products.

Requirements

  • AA/AS degree with 6+ years of experience; OR BA/BS degree with 4+ years of experience; OR MA/MS degree with 3+ years of experience.
  • Proven experience in event planning and logistics.
  • Strong organizational skills, with the ability to manage multiple tasks in a fast-paced environment.
  • Experience working with both clients and internal teams to align event goals with business objectives.
  • Detail-oriented, self-starter with excellent communication skills.
  • Ability to collaborate effectively with stakeholders and provide onsite support.
