About the position

The Project Coordinator - Executive Assistant at Montefiore is a pivotal role designed to provide comprehensive executive support to the systemwide leader of the Digital organization. This position is integral to the success of the Digital team, which is focused on enhancing tech-enabled care delivery to improve patient experiences and operational efficiency. The Project Coordinator will work closely with the Vice President (VP) of Digital, managing a variety of tasks that require a high level of organization, discretion, and professionalism. In this fast-paced environment, the Project Coordinator will be responsible for sophisticated calendar management, ensuring that the VP's schedule is optimized for productivity. This includes prioritizing internal and external inquiries, troubleshooting scheduling conflicts, and making judgements that reflect the VP's style and organizational policies. The role also involves serving as the primary point of contact for all matters related to the VP, which may include handling highly confidential information and making critical decisions regarding referrals and responses. Additionally, the Project Coordinator will complete a broad range of administrative tasks that facilitate the VP's productivity, such as arranging travel, managing expense reports, and maintaining stakeholder lists. The position requires excellent written and verbal communication skills to prepare materials for meetings, plan agendas, and draft correspondence. The Project Coordinator will also act as a communication bridge between the VP and various internal departments, fostering strong relationships with stakeholders, vendors, and customers. Responsibilities

  • Provide sophisticated calendar management for the Digital team, prioritizing inquiries and requests while troubleshooting conflicts.
  • Work effectively with the VP to ensure understanding of and preparation for upcoming commitments and responsibilities.
  • Serve as the primary point of contact on all matters pertaining to the VP, exercising judgement to reflect the VP's style and organizational policy.
  • Complete a broad variety of administrative tasks that facilitate the VP's productivity, including travel arrangements and expense reports.
  • Prepare materials for meetings, including planning agendas and developing presentation materials.
  • Compose and prepare correspondence, draft emails, letters, and complex documents.
  • Provide effective communication between the VP and internal departments, facilitating smooth interactions with stakeholders.

Requirements

  • Demonstrated experience supporting senior level executives in an enterprise corporate environment.
  • High degree of organization and stakeholder management skills.
