About the position

The Project Coordinator - Fire at MSS Solutions, LLC is responsible for managing various project-related tasks, including labor reporting, contract management, and communication with subcontractors and vendors. This role is crucial for ensuring the smooth operation of projects and requires strong organizational and communication skills. Responsibilities

  • Manage and publish daily labor reports, including short-term and long-term manning profile trackers.
  • Issue purchase orders to Temp Agencies following guidelines and approval matrix.
  • Set up job locations in Hilti Tool Tracking System and coordinate tools audits with warehouse personnel.
  • Work closely with the Administrative Contract Management team to establish an accurate customer database and job setup procedures.
  • Set up service tickets in MS Dynamics/Kay2Act following guidelines and approval matrix.
  • Assist in maintaining job files utilizing Microsoft Dynamics GP/WennSoft and SharePoint.
  • Prepare timely and accurate billing documents and payment applications.
  • Manage project accounts payables and receivables, including communication with subcontractors, vendors, and customers regarding invoices.
  • Assist in managing contracts and change order execution, updating job files with information.
  • Maintain weekly reports such as billing, WIP, and Certified Payroll, and distribute them to project staff and accounting office.
  • Assist in reviewing ledgers and correcting mis-postings through Job Cost Adjustments or Accounts Payable.
  • Maintain forecasted cost projections and process forecast revisions monthly with operations.
  • Assist Accounts Receivable Department with account collections.
  • Issue purchase of job materials or equipment following guidelines and approval matrix.
  • Attend project meetings as needed.
  • Manage requests for permits and inspections.
  • Establish solid communication with all staff, both project and corporate customers and vendors.

Requirements

  • 2 year or 4 year degree from a recognized college or university preferred.
  • Excellent communication and writing skills.
  • Administrative/Clerical Experience required.
  • Ability to prioritize, multi-task and meet deadlines.
  • Construction Management background a plus.
  • Microsoft Dynamics experience a plus.
  • Proficiency with Microsoft Word, Excel, Excel-Pivot Tables, V/H-look ups a plus.
  • Accounting knowledge preferred.
