About the position

The Project Coordinator at Prevent Child Abuse America (PCA America) plays a crucial role in providing administrative support and project coordination for grants and sponsored projects aimed at preventing child abuse and neglect. This position involves managing multiple projects, ensuring compliance with regulations, and facilitating communication among various stakeholders. The role is hybrid, requiring at least 2-3 days in the Chicago office, and is contingent upon grant funding availability.

Responsibilities

  • Help maintain the organization's grant/sponsored project portfolio through post-award project coordination.
  • Process and track all related monthly invoices, progress reports, payments, and expense reports.
  • Serve as a team lead on virtual meetings and webinars, assisting with meeting set up, facilitation, and technical assistance.
  • Support developing and disseminating project communications with applicable PCA America staff and consultants, including promotional activities, listservs, and maintaining web landing pages.
  • Maintain confidentiality regarding budget information.
  • Prepare interim and final grant/sponsored project reports.
  • Facilitate award closeout activities.
  • Ensure compliance with all applicable PCA America policies and procedures; local, state, and federal rules/regulations; and sponsor requirements.
  • Assist with the scheduling and planning in-person and virtual meetings, including logistics (e.g., hotel arrangements, meeting facilities, meals, transportation); preparing and compiling materials (e.g., agendas/pre-reads); taking and sharing meeting minutes; and processing meeting expense reports.
  • Develop, process, and maintain subcontracts, consulting agreements, honoraria, and/or small grants for assigned projects.

Requirements

  • Bachelor's degree in business administration, communications, public health, sociology, or related field or an equivalent combination of relevant education and work experience preferred.
  • A minimum of 2 years of related grant/sponsored project administration experience required.
  • Experience with budget tracking and processing, coordinating with internal staff and external partners; and facilitating meetings.
  • Familiarity with Department of Health and Human Services federal awards and other federal rules/regulations knowledge (e.g., OMB Uniform Guidance).
  • Ability to communicate with technical and non-technical audiences, including both written and verbal communication.
  • Demonstrate proficiency with Microsoft Office Suite.
  • Ability to meet deadlines and be willing to occasionally work extended hours to complete projects within a condensed timeline.
  • Flexibility to adapt to changing priorities.
