About the position

The Project Coordinator at the University of Miami/UHealth is responsible for providing coordination services for various construction projects, including capital projects, renovations, and maintenance. This role involves working closely with project managers, internal teams, and external vendors to ensure projects are completed on time, within budget, and to required standards. The Project Coordinator will handle administrative tasks, facilitate project logistics, and maintain comprehensive documentation to ensure efficiency and compliance.

Responsibilities

  • Plans and coordinates administrative tasks including scheduling meetings and conference calls.
  • Processes purchase orders, invoices, permits, and other documents.
  • Coordinates RFP, RFQ, bid submittals, and award communications with vendors.
  • Advances and enforces operational procedures and best practices.
  • Provides administrative and logistical support to project managers.
  • Assists in developing project scopes, budgets, and timelines.
  • Facilitates project logistics, including scheduling meetings and equipment.
  • Coordinates the start-up of major utilities and equipment.
  • Communicates project progress, schedules, and spending to stakeholders.
  • Assists with budget preparation and tracks project-related expenditures.
  • Processes project permits with required agencies and tracks progress.
  • Ensures adherence to university and unit-level policies and procedures.
  • Identifies risks and removes roadblocks that hinder project progress.
  • Executes project closeout procedures, ensuring all items are completed before final closure.
  • Serves as a liaison between team members, stakeholders, and management.

Requirements

  • Bachelor's Degree in a relevant field.
  • Certification in a relevant specialty or field.
  • Minimum 2 years of relevant experience.
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to analyze, organize, and prioritize work under pressure while meeting deadlines.
  • Ability to work independently and/or in a collaborative environment.
  • Ability to maintain effective interpersonal relationships.
  • Proficiency in using project management software such as Projecto and Smartsheet.
  • Proficiency with Microsoft Word, PowerPoint, and SharePoint software.
