About the position

The Project Coordinator is an entry-level professional position at Tyonek Native Corporation, primarily responsible for facilitating and organizing various aspects of the Project Management business field. This role is crucial in supporting the Project and/or Program Manager in executing projects within defined timelines and scope. The position requires a blend of business acumen and technical savvy, as the projects may involve activities such as prototyping, manufacturing, kitting, integration, and delivery. Success in this role hinges on flexibility, perseverance, diligence, and a willingness to learn and grow within the Project Management field. In this role, the Project Coordinator will engage in planning, monitoring, coordinating, and reviewing all aspects of assigned projects. Daily tasks will involve utilizing organizational databases such as Costpoint, Tyonek One, and SharePoint to support various program activities. The Project Coordinator will assist the Program Manager with Excel spreadsheets, Word documents, and PowerPoint presentations to ensure effective program support. Additionally, the coordinator will follow up on the progress of program action items and report to the Program Manager, ensuring that all tasks are on track. The Project Coordinator will also play a key role in coordinating Integrated Product Team (IPT) meetings, maintaining and recording meeting minutes, and assisting in creating Contract Data Requirements List (CDRL) items for customer delivery. This includes ensuring that CDRL information is accurate and in accordance with customer requirements. The coordinator will work closely with the Program Manager to maintain customer awareness of work status and schedule delays, monitor and schedule shipments to meet customer due dates, and develop Bills of Materials (BOM) as required. Furthermore, the role involves submitting Purchase Requests (PR) to procure parts and raw materials, collaborating with the procurement team to convert PRs into Purchase Orders (POs), and performing inventory control activities in coordination with the Logistics Department.

Responsibilities

  • Planning, monitoring, coordinating, and reviewing all aspects of assigned projects.
  • Utilize organizational databases such as Costpoint, Tyonek One, and SharePoint daily to support various program activities.
  • Assist Program Manager with Excel spreadsheets, Word documents, and PowerPoint presentations to support program activities.
  • Follow up on the progress of program action items and other tasks, reporting to the Program Manager.
  • Assist Program Manager with coordinating Integrated Product Team (IPT) meetings and maintain and record meeting minutes.
  • Assist Program Manager in creating Contract Data Requirements List (CDRL) items for customer delivery, ensuring accuracy and compliance with customer requirements.
  • Work with Program Manager to maintain customer awareness of work status and schedule delays.
  • Monitor and schedule shipments to meet customer due dates.
  • Develop Bills of Materials (BOM) required using drawings and/or statements of work (SOW).
  • Submit Purchase Requests (PR) to procure parts and/or raw materials for assemblies, kits, and fabricated parts.
  • Collaborate with the procurement team to facilitate the conversion of Purchase Requests (PRs) into Purchase Orders (POs).
  • Regularly update the Program Manager on the status of Purchase Orders, highlighting any potential delays or issues.
  • Perform inventory control activities by coordinating with the Logistics Department to track incoming items and stored inventory for accountability purposes.
  • Engage in close collaboration with both the QA team and vendors to initiate the process for acquiring Return Merchandise Authorization (RMA) numbers.

Requirements

  • Entry-level position requiring a degree in a related field or equivalent experience.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Familiarity with project management principles and practices.
  • Ability to work collaboratively in a team environment.
